As an Administrative Operations Assistant within the South Atlantic Water Science Center, some of your specific duties will includes:

• Monitoring and tracking obligations and expenditures within the budget execution phase.
• Verifying that obligations and expenditures occur on a timely basis in accordance with the financial plan and regulatory controls and are within amounts obligated.
• Assisting in the compilation of selected administrative support requirements information pertaining to needs and cost trends of payroll, travel, supplies, and training.
• Participating in basic developmental work efforts in support of mail and file services, travel, records and reports, vehicle management, and related services.
• Performing limited analyses of organizational elements including such functions such as overtime cost, telecommunications requirements, word processing systems, duplicating equipment, and work distribution.

As a Administrative Operations Assistant within the Earthquake Science Center, some of your specific duties will include:

• As the front desk receptionist directs, screens, and tracks all incoming correspondence (email/postal/fax), data calls, calendar entries, and visitors, and if applicable refers them to the appropriate staff member, office or agency for information or response.
• Utilizes automated databases to perform data entry and manipulation. Specifically, inputting and retrieving data in administrative support computer systems (i.e., automated payroll, automated travel management, internet sources).
• Prepares a variety of forms and correspondence in accordance with established formats and procedures and proofreads letters or documents for typographical errors.
• Operates a government vehicle as an incidental driver.

As an Administrative Assistant within the Fort Collins Science Center, some of your specific duties will include:

• Maintains automated expenditure and related databases, reconciling daily obligations and payments.
• Researches and resolves any discrepancies and prepares the necessary documentation to effect adjustments.
• Responds to a variety of substantive requests for program, budget, and statistical information.
• Receives purchase orders, expenditures, and similar documents for obligation against authorized funds, appropriated and reimbursable
• Serves as payroll specialist advising employees on time and attendance procedures and regulations.
• Serves as a travel specialist advising employees on travel procedures and regulations.
• Operates a government owned/leased vehicle as an incidental driver.

As an Administrative Officer within the South Atlantic Water Science Center, some of your specific duties will include:

• Participating as a key member of the Center senior management staff in planning short-and long-term projects.
• Developing and advising on annual training, staffing and financial planning.
• Analyzing multiple scenarios of budget situations for reimbursable and appropriated funding.
• Conducting complex studies related to management analysis, organizational dynamics, and administrative program management.
• Exercising significant responsibility in dealing with officials and other units of organizations.
• Providing supervision and oversight to various administrative and budgetary positions within the Cost Center.

The ideal candidate will combine the following skills and experience:

• Filing of documents
• Prepare PO / Quotation
• Photocopy and scanning
• Proficiency in Excel / Microsoft Office
• Ordering office stationary and groceries
• Attend to phone calls and email queries
• Hotel / Air ticket booking
• Provide support in general human resource matters
• Prepare data for monthly HSE meeting
• Assist ISO filling document record
• Minutes meeting (Bi-Weekly)
• Any other ad-hoc duties assigned by the management

Requirements :

· Minimum 2-3 years of working experience.

· Positive attitude and customer-oriented.

· Team player with good communication and strong initiative.

· Proficient in Excel / MS Office.

· Good administration and organizing skills.

· Able to communicate and read in both English and Mandarin.
