About the Position

The Facilities Manager will be responsible to oversee all building-related activities including to preserving the good condition of infrastructure and ensure that facilities are safe and well-functioning. The post holder will be well-organized and able to optimize the use of space and equipment while reducing operating costs. Key Responsibilities  

• Knowledge of United Nations Global Compact (UNGC) principles surrounding facilities is a must. 

• Responsible for setting UNGC sustainability goals and implementing them and reporting in compliance to UNGC rules and regulations. 
• Knowledge of carbon emissions control, accounting and reporting is a must. 
• Performing routine maintenance on facilities and making repairs as needed. 
• Scheduling routine inspections and emergency repairs with outside vendors.

The successful candidate will have:

• At least a bachelor’s degree in facility management, engineering, business administration or a relevant field. 
• Knowledgeable in Malaysian OSH Management System, the standards, and specifications.   
• Certificate in NIOSH will be an added advantage. 
• Proven experience as facilities manager or relevant position. 
• Well-versed in technical/engineering operations and facilities management best practices.

Your new role

Job Purpose:

You will conduct and organise maintenance of our client's electrical network and assets, whilst ensuring that there is no unplanned disruption to the electricity supply. You will help manage engineering and craft resource to ensure maintenance activities are undertaken in a safe and efficient manner.

The Commercial Buildings Team holds responsibility for the control, operation and maintenance of High and Low voltage electrical networks at multiple sites. These sites are primarily on the Canary Wharf Estate.

You will be at the operational heart of this arrangement, and hold responsibility for operational and maintenance duties, including Management responsibility for staff, contractors and network assets / maintenance.

You will report into the Client Delivery Manager and manage the daily operational work. In delivering the Operation & Maintenance activities. You must ensure accurate records are maintained and prepared for the clients to demonstrate auditable compliance against commercial contracts.

Principal Accountabilities:

• Undertake and planning of maintenance of the Commercial Buildings HV/LV networks to meet scheduled targets.
• Produce an annual maintenance plan for acceptance by relevant building management.
• Ensure all work is undertaken following UKPN procedures for health, safety, quality, environmental and welfare.

In your new job as a Facilities Manager, you will manage hard & soft services scope (technical, cleaning, archiving, pest, catering & estates).

The role holder will manage a team of approx. 30 people plus sub-contractors, ensuring that an effective and efficient service is delivered and maintained and that service levels are in line with the contractual CI's, KPI's and PI's. You'll also monitor and control supplier, sub-contractor and labour costs to ensure financial targets are achieved. Building a strong working relationship with internal and external customers including sub-contractors is important in this role, to ensure that all services are delivered in a professional, timely and cost-effective manner.

You'll be responsible for compiling accurate management information/reporting as required and submit in a timely manner to appropriate stakeholders, and play a key role to support any site audits, including but not limited to, quality, health and safety, environmental and finance.

The successful Facilities Manager will have experience of FM project delivery, including an awareness of CDM regulations and proven success in an operational manufacturing environment, worked within process-led, regulated organisations and/or industries. You will hold a suitable Health and Safety certificate (IOSH Managing Safely or similar) and Knowledge of Quality Management Systems is extremely desirable.

The ideal candidate will be able to demonstrate a proven track record managing multi-disciplined teams including recruitment, disciplinaries, grievances, appraisals, and performance management, and can show an ability to manage operational finance, i.e. management of WIP, debt and billing activities and highly computer literate and experienced in using Microsoft applications.

Based on our National client site, MARS in Wyong you will manage the integrated facilities services ensuring that Sodexo's financial and operational objectives are met.

We seek a Facilities Manager with demonstrated experience managing the delivery of hard (fire services, electrical) and soft services (cleaning, food) and a team of 17 Sodexo staff.   You will manage the planned work schedules, and will review & evaluate building works as well as coordinate all aspects of building maintenance and essential services via contractor management.

Other duties will include but won’t be limited to:

• Ensuring works are completed in accordance with Service Level Agreements and OH&S guidelines
• Effective staff management, including motivation, development, performance management, recruitment
• Management of reporting to client and Sodexo this including preparation and completion of monthly financial, OH&S, client service and key issues reports
• Actively managing a P&L financial model with the objective of meeting the set financial budget
• Sound understanding of contractual agreement with client and ability interpret and amend as per business requirements
• Development of strong working relationships and maintaining a professional and ethical attitude with all employees and contacts associated with the business
• Demonstrated experience managing the delivery of food services particularly in a manufacturing or blue collar environment
• Demonstrated record of safety leadership preferably in a manufacturing environment

About the Role :

• Organise, co-ordinate and control the FMC team, sub-contractors appointed by the Client and visiting sub-contractors. Collate and manage all technical specifications, O&M documentation, drawings and compile all maintenance programs from all sub-contractor. Track and monitor the maintenance programs by using the appropriate software and spreadsheets;
• Manage emergency and ad-hoc repairs, breakdowns and trouble-shooting. Provide technical support and attendance where necessary and act as an Authorised Person. Manage and act as the co-ordination point between the various subcontractors and/or Vendors appointed by the Client;
• Consolidate and provide technical reports or findings to the Client;
• Oversee the management of the Permit to Work systems;
• Oversee the health and safety management. Ensure Permit-to-Work (PTW) is approved and proper submission of all risk assessment reports by all sub-contractors, including those appointed by the Client, before the works are executed, proper filing of the reports and implement inspection and spot checks to ensure compliance to risk assessment by the sub-contractors;
• Deputise as required for the Director;
• Works management such as preparing monthly progress reports, certification of work completed to the required standard,issue and control of variation orders, etc;
• Assist in the day to day ‘running’ of the Property;
• Carry out periodical and statutory inspections in an agreed format and manner with the Client and provision of management reports thereafter;
• Shall manage customer service related issues, ensure proper response and action items with customers (any tenants / Occupant / staff or members of public) are closed in a timely and professional manner;
• Also be responsible for the office management functions, office support services and administrative support to the Client; and
• Any other work necessary for effective operations of the Property or as directed by the Client.

About you :

• Degree in Real Estate/ Building Management, Engineering or related discipline
• Minimum 3 years’ relevant experience at management level
• Excellent organisation, communication and interpersonal skills
