Duties & Responsibilities:

Purchasing/Cost Control

• Assist the Operations Manager in controlling and evaluating all relevant financial budgets and forecasting through constant monitoring of the daily reports. To review any paid out but not limited to; Checks, Petty Cash, Purchase Requisition, Purchase Order and other related financial requests.

• Knowledge of procurement process example; Request for Quotation [RFQ], Request for Proposal [RFP], creating and issuing of Purchase Orders, verifying of invoices against purchase orders and work completed and etc.

• Conduct research on available vendors to determine which vendors offer the best pricing and product / service quality.

• Assist in the preparation of regularly scheduled reports including reports to Marriott, insurance companies and government agencies.

• Respond to queries from finance and facilitate on matters such as invoice, orders, delivery order, goods/services received, cost claims, revenue collection, cash and borrowings, inter-company transactions.

Administration

• Maintain Licensing/Insurance renewals for all entities under The Garcha Group.

• Office Management (dispatch and collection of correspondence within The Garcha Group, submit and reconcile expense reports).

• Purchasing of uniforms and office supplies

• Any other duties / tasks as requested by management.

Facilities Management

•Main point of contact for tenants

• to communicate efficiently and effectively with engineers, management and tenants on issues pertaining to the properties

•Good filing and administrative skills. To maintain hard copies and e-copies of any required documentation

Job Requirements:

• Candidate must possess at least a Degree or Advanced/Higher/Graduate Diploma, in any field.

• At least 5 year(s) of working experience in the related field is required for this position

• Experience or knowledge of basic financial administration is essential

Job Description & Responsibilities:

• Processing guest check-ins and room assignments following hotel’s rate structures, discounts, sell/upsell strategies and accommodate to special requests whenever possible
• To provide assistance when required for luggage’s, safety box, additional guest room keys, transportation etc.
• Collect payment in compliance with cash handling, credit card processing and accounting policies and procedures
• Answer enquiries about hotel services, in house events, directions, attractions etc
• Pre-register, block reservations and as appropriate, take same day and future reservations as well as to follow P&P for room cancellations
• Perform night audits during midnight shift and prepare necessary reports
• Handle any loyalty membership “Bonvoy” related enquiries, including adequate management of “Preferred”, “Gold” and “Platinum” members
• To always be on time and at work when scheduled, in proper grooming and uniform
• To always remain professional with positive attitude and actions when communicating with guest and associates
• Managing the Front Office Team with Front Office Manager inclusive of rostering/appraisals/discplinary action.
• Any other duties / task as requested by management

Other Requirements

• Candidate must possess at least Professional Certificate/NITEC in any field
• Required language(s): English, preferable one other spoken language
• At least 2 year(s) of working experience in a related field

Helping expand and undertaking our risk assessments and method statements for upcoming works.
Buying of consumable supplies, materials and equipment. Making sure stock levels are maintained.
Helping with the running of the business work unit, making sure signage is correct, canteen is stocked and staff welfare needs are met.
Booking training courses for staff.
Undertaking applications to councils and other authorities for permits for work.
Maintaining our digital and physical paperwork systems.
Maintaining and developing the website content.
Helping with our social media presence and activity.
Plus various other admin tasks as the company develops.

Experience:

Previous admin work experience desirable but not required. Personality and enthusiasm are more important.
