RESPONSIBILITIES

2. CRM Management:

• Update and maintain SPS CRM (HubSpot) and customer database for
  efficient sales tracking.

3. Follow-Up:

• Promptly follow up on inquiries and quotations to ensure customer
  satisfaction.

4. WhatsApp Management:

• Manage SPS WhatsApp for sales and marketing communication with
  professionalism.

5. Team Collaboration:

• Collaborate with team members to share information and execute sales
  and marketing plans.

6. Affiliation & Collaboration:

• Seek partnerships with institutes, universities, and organizations to expand
  business networks.

7. Event Participation:

• Represent SPS by attending events, trade shows, or conferences as
  needed.

8. Quotation & Invoice Processing:

• Prepare and process quotations and invoices accurately and timely.

9. Training Support:

• Assist in training registration, confirmation, and certificate issuance for
  participants.

10. HRD Claimable Course Coordination:

• Coordinate HRD Claimable Course applications with HRD Corp.

11. Event Preparation Support:

• Support in preparation for public training and events.

12. Training Preparation Coordination:

• Organize training logistics including venue, materials, registration, and
  certifications.

13. Participant Communication:

• Maintain communication with participants via email, WhatsApp, etc.,
  providing necessary information and support.

JOB DESCRIPTION

This internship provides a hands-on learning experience in administrative, finance, and human resources functions within a growing and dynamic environment. You will have the opportunity to work closely with all team members and superiors.

JOB SCOPE

As an Administrative, Finance, and Human Resources Intern, you will be exposed to various aspects of business operations and play a vital role in supporting our team in administrative tasks, financial analysis, and HR processes. 

Your responsibilities may include, but are not limited to:

Administrative:

· Assisting with day-to-day administrative tasks such as filing, data entry, and document preparation.

· Coordinating meetings, appointments, and travel arrangements for team members.

· Managing office supply inventory and ordering as needed.

· Providing general administrative support to the team as required.

· Supporting project management activities and tracking project progress.

Finance:

· Assisting in financial record-keeping and documentation.

· Supporting the finance team in preparing financial reports, invoices, and expense reports.

· Collaborating with team members to ensure compliance with financial policies and procedures.

Human Resources:

· Assisting in recruitment processes, including job postings, resume screening, and scheduling interviews.

· Supporting onboarding activities for new hires, including paperwork and orientation sessions.

· Assisting in maintaining employee records and databases.

· Supporting HR initiatives such as employee engagement activities and performance management processes.

REQUIREMENTS:

· Must be able to commit for a minimum of 3 to 6 months. Preferred final semester student.

· Currently enrolled in a bachelor's degree program in business administration, finance, human resources, or a related field.

· Internship Letter, Latest Result Slip, Official University Letter, Resume, and Cover Letter.

· SPM transcript, co-curricular certificate, etc.

· Good command of spoken and written English, Bahasa Melayu and Mandarin.

· Proficiency in Microsoft Office applications especially Microsoft Excel.

· Ability to maintain confidentiality and handle sensitive information with discretion.

Job Description

• Process invoices promptly and organize payment requisition from different project vendors;
• Participation in project related meetings, meeting minutes record and follow up on action items;
• Autocad knowledge is a must
• Coordination of various engineering tasks and manage document control;
• Handle incoming / outgoing office correspondence, including project drawings and other relevant documents;
• Receive, check and accurately record information in the Project Management Information System (PMIS);
• Arrange document signings and compilations, ensuring accuracy;
• Provide administrative support to the project team, facilitating communication and workflow;
• Other responsibilities as delegated by superiors or management.

該實習提供了在不斷發展和充滿活力的環境中行政、財務和人力資源職能的實踐學習經驗。您將有機會與所有團隊成員和上級密切合作。

工作範圍

作為行政、財務和人力資源實習生，您將接觸到業務運營的各個方面，並在支援我們團隊的行政任務、財務分析和人力資源流程方面發揮至關重要的作用。

您的責任可能包括但不限於：

行政的：

· 協助日常管理任務，例如歸檔、資料輸入和文件準備。

· 協調團隊成員的會議、約會和旅行安排。

· 視需要管理辦公用品庫存和訂購。

· 視需要提供團隊一般行政支援。

· 支援專案管理活動並追蹤專案進度。

金融：

· 協助財務記錄保存和文件編制。

· 支援財務團隊準備財務報告、發票和費用報告。

· 與團隊成員合作，確保遵守財務政策和程序。

人力資源：

· 協助招募流程，包括職缺、履歷篩選和安排面試。
