The Assistant Manager/Senior Executive/Executive works closely with multiple internal and external stakeholders to manage the office and retail space planning and operations.
Office Space
• Manage day-to-day office operations, including tasks and requests such as seating planning, oversee office amenities (e.g. Meeting rooms, AV system, Staff pantries) and liaise with Facilities Management on office-related maintenance work.
• Facilitate and manage various office projects such as office relocations and office renovations.
• Assist with leasing of external spaces for offices (e.g from Singapore Land Authority and other HealthCity Novena partners).
• Proactively monitor and review current processes and workflows to be compliant with government/hospital standards and guidelines. Seek improvement and able to give suggestions and plans to resolve issues (involvement in the hospital renewal programme and BCA Green Mark certification for Healthier Workplaces).
• Manage the set-up and procurement related to the upcoming Integrated Care Hub building.
Retail Management
• Responsible for the leasing, planning and setting up of the retail units in the hospital across different buildings.
• Managing tenancy-related issues, compiling occupancy and rental reports, and other related lease management functions
• Interact professionally with internal and external parties to gather feedback, resolve complaints, and improve service level.
• Engage key stakeholders in establishing and implementing initiatives to enhance existing/ meet new retail service needs (e.g. introducing new technology to improve user experience, and work with multiple government agencies to roll out new initiatives).
Estate Management
• Oversee the hospital campus amenities, including procurement of new furniture and equipment, and working with internal stakeholders on the maintenance schedule.
• Other Ad-hoc projects as assigned.
Requirement:
• Bachelor’s degree in any discipline
• Minimum 3-5 years of relevant work experience
• Maturity and adaptability to work independently
• Ability to plan, supervise, execute and manage operational plans
• Good multi-tasking and problem-solving skills
• Self-starter and resourceful with good interpersonal and communication skills
