Primary Responsibilities

Purchasing Administration

· Supervise, train and motivate Purchasing department employees

· Ensure that the department works closely with the Executive Chef and the Food & Beverage Director to purchase the highest quality products at the lowest prices

· Ensure that all purchase order requests are properly completed and approved

· Negotiate food prices, place required daily food orders and ensure prompt delivery

· Generate purchase orders on approval requisitions and obtain necessary authorization

· Obtain competitive price quotations and confirm purchase availabilities

· Provide the Financial Controller with a monthly summary of purchasing reports

· Coordinate regular inventories with storeroom personnel and department heads

· Coordinate capital project purchases with corporate purchasing and outside contractors

· Cultivate the sound supplier relationships

· Conduct regular quality control audits to ensure staff are performing their duties according to standard guidelines

· Conduct food supplier premise checks with the Chef before registering the supplier as a vendor to ensure supplier compliance with Hazard Analysis Critical Control Point (HACCP) standards

· Conduct surprise audit of receiving and storage areas from time to time to ensure that Hazard Analysis Critical Control Point (HACCP) standards are adhered to

Team Management

· Interview, select and recruit direct reports

Scope

As the Assistant Manager of our Spanish tapas bar and grill, you will play a pivotal role in supporting the Restaurant Manager in overseeing day-to-day operations and ensuring the smooth and efficient functioning of the establishment. With a passion for hospitality and a commitment to excellence, you will help lead a dynamic team in delivering exceptional service and creating memorable dining experiences for our guests.

Key Responsibilities:

· Assist the Restaurant Manager in managing all aspects of restaurant operations, including staffing, scheduling, and inventory management.

· Oversee daily opening and closing procedures, ensuring that the restaurant is set up for success and meets cleanliness and safety standards.

· Act as a point of contact for staff and guests, addressing any issues or concerns promptly and professionally.

· Provide warm and welcoming hospitality to guests, ensuring their needs are met and their dining experience exceeds expectations.

· Assist with reservations, seating arrangements, and special requests, demonstrating attentiveness and a commitment to guest satisfaction.

· Handle guest feedback and inquiries with tact and diplomacy, striving to resolve any issues to the guests' satisfaction.

Qualifications:

· Knowledge of Spanish cuisine and beverages is desirable but not required.

Job Description:

• The general upkeep, tidiness, and suitability of the workplace furniture and fittings.
• Purchasing stationery, pantry supplies, and other standard office and warehouse administrative goods
• Mail and courier arrangements and dispatch
• Examine and bargain for general office cleaning service contract renewals.
• Travel planning and arranging, including hotel and airline reservations
• Examine and haggle over policies for fire insurance, general third-party insurance, etc.
• Work with the corporate secretary to coordinate director resolutions.
• To offer guidance on matters pertaining to the Company Secretary and Legal Consultant when needed.
• To offer guidance on contract renewals with distributors/agents, consultants, and service providers as needed.
• To offer guidance on the administration and synchronisation of corporate social responsibility (CSR) initiatives in the Singapore office as needed.
• When needed, offer guidance on organising Global mission activities for Singapore and its branches.
• To offer guidance on managing branding and the company website as needed.
• Conduct research, compose, create, and revise sales materials that are suitable and impactful for the target market. Make plans for the cost-effective publication and distribution of this content. Training and sales tools, telemarketing scripts, advertising text, brochures, catalogues, display ads, technical instructions, fact sheets, and information booklets are examples of collateral.
• Communicate with outside organisations and vendors (such as media outlets, event planners, graphic designers, printers, and advertising agencies) to make sure their work satisfies the organization's specifications, timelines, and financial constraints.
• Help with gathering data or carrying out market research projects
• Assist the Sales and Marketing teams with their administrative needs as they prepare sales presentations and events like boat shows, exhibitions, and seminars.
• In charge of creating the style, format, and content of company newsletters, other publications, and articles for the events
• Prepare brochures and mailers by setting up printing and formatting text and images.

Requirements:

• A minimum diploma or degree in business administration, marketing, communications, or a related profession
• A minimum of two to four years of experience in a comparable discipline
• Excellent understanding of databases and marketing research methodologies, along with expertise in marketing analytics
• Strong comprehension of marketing fundamentals
• Outstanding proficiency with Microsoft Office, online marketing tools, and analytics software (such as Google AdWords, CRM tools, and online analytics)
• Photoshop, UX, and web design software knowledge
