• You will be the key point of contact for tenants to build long-term and sustainable relationships, as well as commercial related enquiries: sales performance evaluation & support, communication, Tenancy & House Rules compliances & obligations and other general or operational enquiries.
• You support Centre Management Office (CMO) and Service Office to coordinate trainings programs for tenant with aims at increasing customer service level and business performance in Centre.
• You organize tenant’s engagement event or meetings on regular intervals.
• You support in preparing and sending tenant circulars.
• You organize and coordinate tenant’s festive gift, including purchases for tenant’s gifts and other relevant Tenant Management inventories.
• You strategize deal structure and standardize variations for casual leasing, ie. pushcarts, ATM, vending machines, kiddies ride, etc.
• You deliver best possible lease deals by achieving or exceeding pre-defined commercial goals through negotiations strategy.
• You contribute and support yearly lease plan actions and merchandising mix for the centre.

• You consolidate, analyse and evaluate Casual Leasing monthly gross sales performance and recommend necessary support.
• You establish and maintain comprehensive Tenant's database in Ikano Centre Management System (ICMS), Tenants Relation Management database and filling system for all tenants (i.e. sales information, licenses, permits, insurances, agreement and other correspondences).
• You monitor Tenancy and License Expiry for casual leasing and ensure timely renewal.
• You collaborate and support other departments for the improvement of tenant’s performance, tenancy, mall operations and/or other tenant’s related matters (e.g. Fit out, Mystery Shopper survey, Centre House Rules, Outstanding debts)

About the job

To ensure a positive experience for tenants across Ikano Centres' portfolio, the Tenant Admin Executive plays a fundamental role in ensuring a smooth and efficient onboarding process. This role involves providing comprehensive administrative support for the Tenant Administration team and ensuring accurate and efficient processing of lease documentation. This will be a temporary 6-month role and will be based in the Service Office Damansara.

Your assignment

• Maintain accurate tenant information in our database.
• Process and manage lease documents throughout their lifecycle (from sending them out to ensuring they are signed and stored securely).
• Assist with initial follow-up on tenant payments and maintain accurate payment records.
• Facilitate the online stamping process for lease agreements.
• Finalize lease agreements and ensure their successful delivery to all parties.
• Manage team calendar and communication, including scheduling meetings and maintaining efficient email workflow.
• Organize and maintain electronic and physical filing systems.
• Assist with other ad-hoc administrative tasks as assigned.

Digital Marketing:
 

• Work closely with the marketing team and be responsible for digital marketing campaigns.
• Implement digital strategies and optimize digital campaigns across all digital platforms and social media channels to improve brand positioning.
• To create and develop content / copywriting to attract and engage internal and external stakeholders.
• Conceptualization and creation of visual graphics and videos intended for publication on social media and offline while adhering to brands’ branding guidelines.
• Responsible in handling digital and online communications, execute online and social media campaigns as well as the production of EDM from conception, collation, content writing to result efficiency.
• Responsible in monitoring media coverage, competitors and industry issues.
• Continuously creating digital media content to improve brand positioning.
• Establish a good relationship with tenants and initiate tactical projects to enhance product awareness and the presence of tenants in the Shopping Centre.
• Collaborate with agency partners in media strategy and performance optimization, content planning and loyalty engagement leveraging Owned channels, Performance Digital, Social Media, CRM and Digital Content Marketing.

CRM and Loyalty Management:

• Manage all documentation and operations of the loyalty programmes.
• Assist on marketing collaterals which are related to the loyalty program.
• Liaise and coordinate with all participants and the service provider for the implementation of the CRM system.
• To recruit merchants and members to participate in the loyalty programme.
• Manage the life cycle trigger email and mobile push notification program.
• Maintain and monitor loyalty members’ data to ensure data quality and accuracy.
• Manage loyalty acquisition and maximize the usage of members’ information (demographic, psychographic and purchase history) to develop relevant activation activity / campaign.
• Determine the best offers and incentives for loyalty programmes and marketing campaigns by working with the marketing team for approval.
• Advice on the feedback received from time to time to improve the programme and system.

• You secure the highest possible goods availability in partnership with the commercial team and taking into account country-specific positioning campaigns, the commercial calendar and local store activities.
• You act as the main contact partner in the store for all range administration and operational supply-related questions, both for the commercial team in the store and the country Retail Supply Integration department.
• You work actively with sales in the area of range management by securing qualitative and timely administration of the range in the systems and highlight deviations on the range frame and parameters. 
• You contribute to successful replenishment by working actively with forecasting and ordering in alignment with the commercial calendar.
• You work actively with the commercial team with the range change process led by the commercial team by providing information regarding sales space parameters, expected sales start, quantity and remaining outgoing quantities.
• You support the Goods Flow Manager with the stock discrepancies analysis as part of the inventory management process. Produce necessary follow-ups for the commercial and management team regarding operational processes in the store, including phasing in and out, overstock and concrete, activities and non-central shortages.
