Typing correspondence to patients, GP's, medical staff and any other required addressee, following clinical attendance or other patient contacts as directed by the USC Secretary Supervisor. Take and transcribe minutes as appropriate Highlighting to the clinical team members any results, correspondence or patient queries that need response and taking action e.g. chase up requesting investigations, transcription etc. Regularly informing the Secretary Supervisor about progress and flagging up as a matter of urgency any issues, for example, difficult queries from patients etc. Diary management, including booking meeting dates and venues, organising and distributing paperwork as required. As directed, support the resolution of complaints or concerns from patients/carers by helping to collate information and work with the Admin Manager/PALS/Supervisor Secretary to respond or escalate appropriately. To cover colleagues during absences/annual leave/sick leave as directed by the Assistant General Manger. You may also be required to undertake job rotation for cross cover as well as for development and training purposes. Undertake routine office duties including electronic note tracking, photocopying, filing of correspondence and results for maintenance of records. Assist in the training and induction for new and existing colleagues. Taking the initiative as an when required as well as working flexibly and adapting to demands of the Department/Team as appropriate. Undertake any other duties within the role, as required at the request of your Line Manager.

About the role (your why)

The Reception and Office Administrator is responsible for ensuring that the reception desk and front-of-house office functions run efficiently and effectively in support of the wider Datacom business. Working in a constantly evolving environment, you must be exceedingly well-organised, flexible, and have experience in office management.

What you’ll do

• Providing efficient and professional customer service at the reception desk, including welcoming guests or clients, directing all incoming calls and managing visitor sign in
• Developing and maintaining effective working relationships with key business stakeholders
• Understand and provide tech support of Datacom’s internal meeting room tech including teleconferences, videoconferences and Surface Hubs; printers and Visitor management system.
• Ad-hoc administration assistance and support as requested by the functional team and other business units.
• Effective control of emergencies, incident reporting and completion of risk assessments, hazard reports.
• Assisting with booking and organising events for senior executives and general office events
• Collaborating with the broader team to analyse, provide recommendations and implement process improvements.

What you’ll bring

• Minimum 2 years’ office management experience
• Excellent communication skills, both written and verbal
• Strong administration and time management skills and ability to solve critical problems in a timely manner
• Intermediate to advanced skills in the Microsoft suite of programs specifically Outlook, Teams, PowerPoint, Word, Excel & Visio
• Strong relationship building skills with the ability to interact with a variety of stakeholders and team members
