Key Responsibilities:

1. Origination of the Media Plan

• Working with the Account Director and client to create clear and coherent plans that bring the media strategy to life.
• In-depth assessment of all candidate media options and detailed recommendation of proposed communication solutions.
• Involvement in creative development workshops as required.
• Working closely with the Account Director in your team to ensure smooth and relevant translation from strategy to plan.
• Assess, identify, and recommend creative media initiatives that deliver greater strategy depth and impact to the media plan.
• Undertake the implementation of agreed initiatives, including the briefing of third parties, as and when required.

2. Management of the implementational process and client relationship management

• Origination of detailed briefs for relevant third-party units (e.g. the Buying Unit, Direct etc), working withthe Account Director.
• Day to day management and ownership of implementation process – ensure brief is delivered / brought to plan, within appropriate criteria (budget, target etc.).
• Principal clients’ contact for the whole implementation process (from presentation of detailed recommendations to negotiation and inventory management issues).
• Collation and reporting of competitive data (when relevant).
• Timely delivery and upkeep of all relevant reporting systems and templates (media plans, contact reports, status reports).
• Post campaign reporting that quantifies the value of the media strategy.

3. Development and direction of Account Executive(s) and Planner(s)

• Clear delegation and clarity when it comes to all basic tasks so Manager is able to step up taking on more responsibility from Account Director.

Responsibilities:

• Responsible for event sales and operations.
• Respond to incoming leads and generate new leads.
• Consult with clients to determine objectives, requirements, and budget for events.
• Develop creative solutions for client event requests from concept to execution.
• Plan and assist with executing all events, including coordination with internal stakeholders, venue operators and external vendors.
• Assign the Group’s event spaces to effectively maximise revenue opportunities.
• Prepare and submit formal proposals and event decks tailored to client’s specifications while maximizing returns to the Company.
• Meet and greet clients, conduct site visits, promote our venues and services.
• Maintain existing client relationships and generate new relationships.
• Manage the whole suite of event tasks to include event design/theme, timelines, production, menu requests, logistics, vendor scheduling, décor, event spend, special event orders etc.
• Attend site visits, pre-planning meetings and other venue meetings as necessary to support event guest experience.
• Effectively communicate information with internal and external stakeholders on event order, timelines, special requirements, feedback, etc.
• Take on administration and logistics duties related to day-to-day operations within the department.
• Excellent communication, interpersonal skills between department colleagues, suppliers, clients, F&B tenants, community stakeholders, internal and external parties.
• Undertake other ad-hoc duties assigned.

Assistant Event Manager

The Assistant Event Manager is self-motivated and will work on simultaneous projects with the event management team focusing on the overall development, planning, production, operations, execution and delivery of meetings, incentive travel, conferences, exhibitions and special events (MICE).

Role & Responsibilities

· Participate in external and internal project management activities and work-in-progress meetings.

· Fulfil the day-to-day Hybrid, Live and Virtual event management needs of external and internal stakeholders.

· Develop strong working relationships with clients, venues and suppliers.

· Coordinate all aspects of the event management process.

· Ensure timely dissemination to all relevant stakeholders of project management documentation and administration.

· Create detailed proposals for all events, including timelines, venues, suppliers, staffing and budgets.

· Conduct pre and post event evaluations and report on outcomes; take initiatives to implement improvement plans.

· Coordinate and manage venues and suppliers.

· Effectively manage onsite production crew, suppliers and temporary staff.

· Ensure client needs and expectations are met or exceeded.

· Provide effective support and mentorship to the team.

· Perform other roles & responsibilities as requested based on business needs.

What You Need to Succeed

· Minimum 2 - 3 years of experience in the MICE industry or related experience.

· Experience in Hybrid, Live and Virtual events.

· Good client relations skills.

· Excellent planning and organisational skills.

· Consistent, high quality and timely project documentation and delivery.

· Strong attention to detail and ability to work well under pressure.

· Strong ability to manage multiple projects, timelines, budgets and deliverables.

· Excellent oral and written communication skills.

· Proficiency in Microsoft Office and Google Workspace applications.
