Job Description

A store Supervisor is a professional responsible for managing and overseeing the organization’s inventory. This includes identifying inventory needs, implementing policies and procedures for stock control, and ensuring that stock levels are maintained at optimal levels. You also responsible for handling supervisory level activities for one or more areas of the warehouse including: shipping, picking & packing, receiving, inventory control, warehousing and distribution functions for raw materials, in-process goods, released finished products, supplies and product configuration.

 

Responsibilities

• Strategically manage warehouse in compliance with company’s policies and vision.
• Setup layout and ensure efficient space utilization.
• Oversee receiving, warehousing, distribution and maintenance operations.
• Adhere to all warehousing, handling, and shipping legislation requirements.
• Maintain standards of health and safety, hygiene and security.
• Manage stock control and reconcile with data inventory system.
• Monitoring inventory levels using software programs and initiating transportation or shipments when inventory levels become too low or high.
  Liaise with clients, suppliers and transport companies.
• Perform cycle counting and reconciliation procedures, ensuring frequency of inventory counts meet company and audit requirements.
• Handling custom clearance and shipment follow up for import and export.
  Liaise with transporter and forwarder for delivery arrangement.
• Ensure all discrepancies are investigated and reported accordingly.
• Corrective and preventive actions are to be documented for the discrepancies.
• Analyzing inventory data and providing regular reports (eg. monthly closing stock report) to upper management.
• Overseeing teams and staff, assigning staff schedules, organizing employee training and developing teamwork initiatives.

Requirements

• Diploma/Degree in Manufacturing Bachelor’s or associate’s degree in business, logistics, systems engineering, supply chain management, inventory management or similar.
• A minimum of 3 years’ experience in a similar role.
• Solid knowledge of data analysis, inventory management software, and forecasting techniques.
• Proficient in current version of MS Word, Excel and Power Point for presentation and report.
• Ability to work with cross functional team at multi levels within the organization.
• Strong leadership with excellent interpersonal/ communication, coaching and conflict management skills.
• Must be action oriented, customer focused and proficient in decision making, problem solving, planning and organizing.

Position Summary:

The role of an Operations Executive in freight forwarding is crucial to ensuring the smooth and efficient movement of goods from one location to another. Operations Executives in this field are responsible for managing various aspects of the logistics process, from the initial booking to the final delivery. Models and acts in accordance with our guiding principles and core values.

Key Responsibilities:

• Responsible for day-to-day coordination, execution and tracking of sea import, export as well as transshipments.
• Liaise with oversea offices and agents.
• Prepare of essential shipping documentation on a daily basis.
• Follow up and updating customers on their import/export shipments.
• Communicate with carriers, terminals, customs brokers, truckers and oversea agents.
• Ensure all shipment documentations are compliant with customs rules and regulations.
• Maintain effective relationships with clients, carriers, forwarders, customs etc. and ensure an impeccable service.
• Troubleshoot challenges that might affect the operational activities.
• Negotiate and book cargo with shipping lines.
• Complete customs clearances and ensure full compliance to any relevant regulations.
• Manage documentation flows; This includes all operational transactions such as bills of lading (B/L), packing lists, commercial invoices and certificates of origin, licenses etc.
• Coordinate the collection/delivery processes and manage this until the final destination according to customers’ requirements.
• Work in a small, harmonized team and cover all aspects of the forwarding process.
• Other ad-hoc tasks, urgent duties and projects as well as assignments.

PRIMARY RESPONSIBILITIES

• Act as an effective Focal Point of contact/Key Account Manager in partnership with the client from various businesses in providing broad range of the HR solutions and strategic plans to support client in delivering the best HR practices that align with the business needs and achieve the business goals.
• Responsible to manage the HR operation team for specific the client, particularly on manpower mobilisation (including work permit).
• Responsible for planning, executing and managing the day-to-day human resources initiatives and operations matters related to TSS manpower supply.
• Maintains payroll information by designing standard operating procedure; directing the collection, calculation, and entering of data for TSS manpower supply.
• Responsible to pay contractor and compiles payroll information by managing payroll preparation; completing reports; maintaining records.

 

SPECIFIC RESPONSIBILITIES

• Update payroll records by reviewing and approving changes in exemptions, insurance coverage, deductions, job titles, and department/division transfers given by clients.
• Prepare reports by compiling summaries of earnings, taxes, deductions, leaves, and allowances to the clients.
• Determine payroll liabilities by approving the calculation of employee’s income and social security taxes, and employer's social security, and workers compensation payments.
• Provide payroll information upon requests.
• Maintain payroll guidelines by writing and updating policies and procedures.
• Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
• Establish strong working relationship with internal and external partners to enhance the effectiveness of the HR deliveries. I.e. clients, local authorities, professional bodies and others.
• Complete operational requirements by scheduling and assigning employee; follow up on work results.
• Handle and coordinate HR related issues such as on-boarding, benefits, employment terms compliance, disciplinary issues and exit procedures for the contractors.
• Prepare management reports on activity, budget and other ad hoc projects to the management and clients.
• Liaise with client for the necessary procedure and approvals in order to prepare billing instruction and ensure all the invoices are billed on time.
• Coordinate and arrange meeting within the department and clients for the quarterly service review.
• Designing and delivering Client specific presentations.
• Adherence to applicable Quality Management System by exercising necessary standard and process when carry out your responsibilities in executing, fulfilling and ensuring at all times the compliance of the QMS requirements.
• Adherence to SGS Health, Safety and Environment (HSE) Policy by uphold a good safety behavior and exercising necessary standard and process when carry out your responsibilities at all times to ensure compliance to the HSE requirements.
