The post-holder will be responsible for the day to day management of the Departments administrative team, ensuring effective coordination of work and the provision of a comprehensive support service in order that work targets are met within the department. Introduction HPFT Child and Adolescent Mental Health Service (CAMHS) provides community-based services for children and young people with mental health problems across Hertfordshire. KEY RESPONSIBILITIES Disseminate information ensuring effective communication to the clinical and administration team Provide admin and training support service to the department Act independently ensuring that daily tasks and ongoing workloads are prioritised and completed in agreed timeframe Liaise and support the senior management team to ensure the smooth running of the department Have a regular shift on reception and provide back up cover for reception when required KEY TASKS Support the senior management team with operational issue Ensure all administrative processes in relation to the daily running of clinics operate effectively Deal with queries raised both internal to the trust and from external sources Support and train staff Manage staff and ensure regular 1-1s and PDPs are undertaken in a timely manner Maintain accurate data bases Manage bank and locum cover Initiate purchase orders as necessary and ensure timely coding and submission of invoices for payment Responsible for central ordering of stores in an efficient and cost effective manner Responsible for maintaining and updating rotas, in conjunction with a matron, for all staff taking account of skill mix and training requirement Ensure that rotas are accessible in a timely manner Review rotas daily and liaise with staff about any changes that are required Support the Senior management team in arranging and implementing training sessions for the department Service Improvement Highlight problems and propose changes to work procedures to ensure streamlined service General Work according to established protocols/procedures and required standards Maintain a clean and tidy workstation at all times OTHER RESPONSIBILITIES To comply with all Trust and departmental procedures. To participate in appraisal and performance reviews. To undertake mandatory training as required by the Trust. Data Protection Act All staff who contributes to patients care records are expected to be familiar with, and adhere to, the Trusts Standards of Records Keeping Policy. Staff should be aware that patients care records throughout the Trust will be subject to regular audit. All staff who have access to patients care records have a responsibility to ensure that these are maintained efficiently and that confidentiality is protected in line with the Trusts Code of Confidentiality Policy. All staff has an obligation to ensure that care records are maintained efficiently and that confidentiality is protected. Staff are also subject to this obligation both on an implied basis and also on the basis that, on accepting their job description, they agree to maintain both patient/client and staff confidentiality. In addition, all health professionals are advised to compile records on the assumption that they are accessible to patients in line with the Data Protection Act. Systems and IT skills requirements All Trust staff needs to have the essential IT skills in order to use the Trust Clinical Information System as well as other required IT related applications in their jobs. Initial and on-going IT applications and IT skills training will be provided to underpin this requirement. Health & safety All staff must comply with all Trust Health & Safety Policies and Procedures. Staff must be aware of the responsibilities placed on them under the Health and Safety at Work Act (1974), and to ensure that agreed safety procedures are carried out to maintain a safe environment for employees, patients and visitors.
