Sourcing and Purchasing:
- Collaborate with all departments, focusing on contractor work for plant maintenance and upgrades.
- Evaluate Engineering department's project scopes, analyze technical data, and source competitive quotes.
- Provide advice on equipment functionality to company personnel and suppliers when needed.
- Engage with existing and potential contractors for facility projects.
- Liaise with contractor representatives on specifications, costs, and inspections.
- Efficiently source materials, negotiate with vendors, and ensure favorable terms.
- Review quotes for compliance and initiate verifications as necessary.
- Monitor purchasing trends to prevent over-purchasing.
- Manage Purchase Requisition (PR) and Purchase Order (PO) processes.
- Monitor vendor performance and take corrective actions when required.
Procurement Records:
- Create new vendors and item codes in the system.
- Ensure timely contract renewals for term contract services and maintain the contract list.
- Inform new vendors/contractors of company requirements and follow up on necessary forms.
- Update Procurement status in Emaint software and communicate policy changes to vendors/contractors when necessary.
- Prepare purchase reports, including cost analyses, and maintain and update other Procurement documentation within the system.
Administrative and Coordination Works:
- Match Purchase Order, Delivery Order, and Invoices for accuracy and completeness, then submit to the Finance Department promptly.
- Verify invoices without Purchase Orders, ensuring they align with contract values and department costs before submission to Finance.
- Conduct follow-ups on cash-on-delivery purchase invoicing and coordinate self-collection arrangements with the Centralized Store.
Requirements:
- Minimum Diploma Electrical / Mechanical Engineering
- Minimum 2 years of experience
- Procurement knowledge will be advantage
- ERP software. E.g. Microsoft Dynamics Navision will be advantage
