JOB TITLE: Leadership and OD Administrator
HOURS OF WORK: 25
PURPOSE OF THE JOB:
Provide administrative support and advice for the Leadership and Organisational Development Team. Support the Leadership and Management Development Trainer to deliver the Leadership Training Plan.
MAIN RESPONSIBILITIES:

1. Responsible on a day-to-day basis for the administration and coordination of leadership development training and events, liaising with guest speakers to arrange inputs and dealing with any enquiries or requests, providing advice to staff asking for information on course dates, availability, joining instructions, and pre-work.
2. Working closely with Multi-Force Shared Service (MFSS) to produce the Oracle Learning Management (OLM) catalogue of leadership programmes from the leadership training plan and to maintain accurate and up-to-date training records for those attending leadership programmes.
3. Book rooms for leadership courses and arrange refreshments when required. Liaise with transport to arrange hotel accommodation for external trainers where required.
4. Undertake administrative duties on behalf of the Leadership and Management Development Trainer and external trainers in relation to leadership development courses. Prior to courses, liaise with planning to ensure suitable dates to manage abstraction levels, prepare the course materials, and ensure joining instructions and pre-work are sent in a timely manner. Post course, collate evaluation feedback forms and update training records as required.
5. Provide statistics on course numbers to monitor cost effectiveness of course delivery and provide collated evaluation of leadership courses with trainer recommendations for action to the HR Business Partner Leadership and OD.
6. Set up and maintain accurate records, systems, and processes in relation to leadership courses and maintain up-to-date training materials and resources on the W Drive.
7. Raise purchase orders for external training providers, venues etc. to provide support for the invoicing of course costs or venue costs.
8. Liaise with external training providers and suppliers to establish availability and associated costs for training delivery to provide the most cost-effective option for leadership development and soft skills courses as required.
9. Co-ordinate communication material for the force intranet and ensure the force's learning zone is updated on a regular basis.
10. Any other duties commensurate with the post.

ESSENTIAL CRITERIA:

1. Evidence of working in a customer-focused environment where the ability to resolve queries and enquiries both face to face and over the phone has been critical to effective service delivery.
2. Maintaining accuracy and attention to detail while working to strict deadlines in a pressurised environment.
3. Working with minimal supervision making decisions within guidelines as necessary.
4. Ability to plan, prioritise, and organise own workload.
5. Utilise highly developed verbal, written, and interpersonal skills to communicate confidently and effectively at all levels, influencing and negotiating with others positively while maintaining good working relationships with a diverse range of people.
6. Be computer literate and have a good working knowledge of Microsoft Office.

Manages a program requiring a dynamic administrative approach to continual changes in regulations and executive orders and to newly mandated ones.

In addition to occupational safety and fire protection, develops and implements programs for hazardous waste and emergency response operations, recycling, pollution prevention, ozone reduction, storm water management, lead and asbestos abatement, storage tank management, air pollution emissions and toxic chemical inventories.

Develops safety and environmental programs designed to comply with specific regulatory requirements such as confined space entry, control of hazardous energy, machine guarding, fall protection, hazardous waste, chemical spill response, fire emergency response/evacuation, workers’ compensation and hazard communication.

Serves as the principal technical advisor and subject matter expert to management at the facility for the development, implementation and enforcement of safety, fire prevention and suppression, occupational health/safety and environmental programs, and workers' compensation programs.

Conducts the on-going specialized training for both staff and inmates as mandated by the Bureau of Prisons and other federal and private agencies such as OSHA, EPA, FDA, USDA, DOL, NFPA, etc.

Along with all other correctional institution employees, incumbent is charged with responsibility for maintaining security of the institution. The staff correctional responsibilities precede all others required by this position and are performed one regular and recurring basis.
