Job Description:

• Provide administrative support for Integration Programmes including scheduling, extracting of data, feedback collation and notes-taking.
• Liaise with internal and external stakeholders to ensure the successful implementation of integration programmes.
• Monitors the utilisation of integration grants to ensure optimum utilisation to achieve the desired integration outcomes.
• Ensure proper filing and documentation of grants in compliance with procurement guidelines.
• Works closely with Integration and Naturalisation Champions (INCs) in promoting integration-centric programmes at RC and NC level such as Chit-Chat Session and Community Learning Journeys.
• Builds strategic partnerships with external organisations to enhance and promote collaborative efforts in integrating new immigrants.
• Facilitates communication and sharing between INCs through focus group discussions, best-sharing sessions and annual workplan retreats.

Job Description:

• Assists Assistant Directors and Heads (Youth & Sports) to promote the development of youth programmes.
• Formulates, implements and reviews plans for the development of youth engagement programmes to achieve long-term community goals.
• Assists in the promotion and participation of the youth programmes at national and international levels.
• Provides administrative support to the Council to facilitate effective implementation of their programmes and works closely with District/ GRC representatives in maintaining strong links with the YNs.
• Explains government policies, facilitates discussion and channels feedback to appropriate parties to develop and strengthen the Youth Networks (YNs)/ partnerships as effective communication channel between the government and the youths / members.
• Works closely with the Council and the team on FutureYOUth campaign and ensure smooth execution of the programmes.
• Explains youth policies and programmes to the Constituency Managers to maintain communication channel.
• Coordinates the recruitment of youth leaders / members to ensure a high-level of involvement and minority-group participation.
• Manage social media platforms and work with the team to share information to engage youths through the socials.
• Performs other duties assigned by senior officers.

Job Scope:

1. Program administration
   1. Monitor training registration to ensure all necessary information is submitted
   2. Brief trainer on the processes and documentation needs for each training program
   3. Make arrangement for training venue and necessary training material
   4. Inform and instruct trainees on the administration of the training (venue, material required, dressing (if applicable), parking facilities,….)
   5. Ensure trainer provide the necessary training proof and documentation upon completion of the training.
2. Manage program reporting
   1. Manage the program tracking reports and provide periodical reporting on the status, including total program training hours etc.
3. Coordinate and schedule meeting
   1. Liaise with both internal (SP staff) and external (companies, trade associations and chambers, etc.)

Job Responsibilities:

· Work with room booking officer to monitor and coordinate request for external training room.

· Source for catering vendors and coordinate refreshment and lunch for classes held at external training venue.

· Work with vending machine vendor to ensure smooth operation and timely supply of snacks and beverages.

Temp Programme Admin

Provide programme administrative and logistical support for existing and new training

programmes, seminars, conferences, study visits and ad hoc events.

Responsible for full spectrum of programme administration and logistic duties such as:

• creating of course and class in TREX system
• prepare publicity for programme
• registration and confirmation of participants
• coordinating travel arrangement (if applicable)
• marking of attendance and compiling of course evaluation

Work closely with Institute Development Officers (IDOs) on programme related matters such as

• course take up, course materials etc. to ensure programme support is timely and in accordance with Institute’s requirements.
• Procure items related to programmes/events.
• Timely invoicing/billing to participants
• Timely payments to trainers and suppliers
• Monitor course take-ups, revenue, and expenses of programmes
• Responsible for knowledge management i.e., keeping accurate and proper records.
• Proper accrual of expenditures related to the programmes/events.
• Comply with college service standards and operations guidelines.
• Meet college and team KPIs.
• Provide onsite support and assistance to associate trainers and resource persons for the smooth delivery of programmes

Job Requirement
