To continue this trajectory, we’re searching for a highly qualified Chief of Staff to work closely with our executive team. From Day 1, this person will have an immediate impact on our productivity by streamlining strategic initiatives, overseeing program management, and communicating objectives to departments. The ideal candidate will have proven success in a business management role, with a special focus on executive-level advising and interdepartmental collaboration.
Responsibilities
- Attend all director-level meetings and calls and
- Prepare agendas for meetings
- Writing up meeting minutes
- Creating follow up tasks
- Ensuring follow up tasks are completed (otherwise meetings become redundant)
- Draft, review and send communications on behalf of the directors
- Maintain director’s various records, memos and documents, including sensitive information
- Drive the implementation of AI Tools and how to use it in day-to-day work
- Drive the implementation of sustainability practices
- Work with directors to launch activities and processes including project planning, intake, prioritization, initiation, execution, and training; as well as in fostering collaboration of end-users and key stakeholders.
- Collaborate with directors and other senior management to develop and implement strategic plans and initiatives
- Provide analytical support and data-driven insights to inform decision-making processes.
- Act as a liaison between departments, facilitating communication and collaboration to drive organizational effectiveness.
- Develop and maintain key performance indicators (KPIs) to measure progress and success across various business functions.
- Prepare executive-level presentations, reports, and communications for internal and external stakeholders.
- Manage special projects as assigned by the director, including research, analysis, and recommendations.
- Coordinate and lead executive meetings, ensuring agendas are clear, action items are tracked, and follow-up is conducted.

Skills and Qualifications
- Minimum bachelor's degree in business administration or similar
- Minimum 5 years of experience working in a Chief of Staff / EA role
- Excellent written and verbal communication skills
- Ability to pay attention to detail and excellent judgment
- Ability to complete a high volume of tasks and projects with little or no guidance
- Ability to reach with appropriate levels of urgency to situations and events that require quick response or turnaround
- Expert proficiency of programs with Microsoft Office
- Technical proficiency and problem-solving skills related to IT infrastructure, support and troubleshooting; and cloud-based environments (non-essential)
- Make appropriate, informed decisions regarding priorities and available time
- Knowledge of AI Tools and applications
