ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Develop, refine, and maintain appropriate financial and internal control systems that ensure protection of College resources and compliance with local, state, and federal laws and regulations as well as generally accepted accounting principles (GAAP), federal grant regulations, College policies, and best accounting practices
Ensure the accuracy and timeliness of all financial reporting; prepare and fairly present the College’s annual financial statements and interim reporting; meet other external reporting requirements
Research accounting methods, practices and standards established by the Financial Accounting Standards Board (FASB) to ensure the College’s full compliance with GAAP
Serve as the primary liaison between the College and external auditors; coordinate all audits and assist Controller in coordinating the annual financial statement audit

Support monthly cash position projections and analysis
Manage all aspects of the general ledger including chart of account maintenance, associated reporting structures, and integrity of financial data and systems; assure that any accounting issues are promptly identified and resolved with appropriate documentation
Oversight responsibilities for monthly, quarterly and yearly reconciliations, account analyses, and preparation of financial reports
Enhance, automate, and reorganize existing business processes and procedures to improve efficiencies and eliminate redundancies
Monitor financial and internal controls including, but not limited to, the timely performance, documentation, and review of account reconciliations
Oversee and coach one direct report, reviewing their work and providing growth and development opportunities
Responsible for accurate and timely preparation and filing of annual federal returns and reporting including Form’s 990, 990-T and related State returns, state sales and use tax collection and reporting, periodic State compliance reporting and other informational surveys and disclosure reports (IPEDS, US Census, US Department of Education, NACUBO Endowment Study, etc.)
Collaborate with assistant general counsel and director of risk management to review contracts for independent contractor status and sign contracts under $5,000 on behalf of the College
Coordinate data collection, treaty applicability, tax withholding and reporting for nonresident alien students, staff, and vendors with various departments
Maintain a documented system of accounting policies and procedures
Represent the department on cross functional initiatives through working groups, committees, and team collaboration

QUALIFICATIONS:
Bachelor’s degree or the equivalent in education and experience; MBA or other advanced degree in accounting, finance, business, or a related field is preferred
CPA certification strongly preferred
Five to seven years of experience as an accounting professional, including leadership experience; strong preference for experience in higher education or a public accounting firm with a higher education/not-for-profit client base
Strong understanding of tax codes and laws

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Reporting to the associate vice president for campus operations, the grounds supervisor provides leadership and strategic direction for the campus grounds team. The position is responsible for sustainable overall management and maintenance of 716 acres of campus grounds, some off-campus properties, special projects, working with student initiatives, and campus special event set ups. The position includes both a high level of stewardship as well as customer service. The general maintenance of campus grounds includes: installation and maintenance of a range of planted areas including lawns, athletic fields, campus plantings, and woodlands including the Perkins Arboretum; road, pathways, and parking lot construction and maintenance; snow removal and disposal, waste collection and management, the campus recycling program, set-ups for special events, grounds vehicle maintenance protocols, hockey rink maintenance including ice making, campus delivery, and limited moving services.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Lead and direct employees and teams in the performance of their assigned duties
Demonstrate best practices in work and techniques carried out by the grounds team
Plan and schedule work assignments, equipment and materials for daily work, seasonal work, routine and planned maintenance, as well as special events and projects
Proactively project grounds and campus landscape needs and develop plans for near and long term implementation, particularly those related to sustainable landscape areas, elements, or other landscaped areas on campus
Supervise and assist the daily operations of the grounds crew responding to the needs of customers
Oversee the routine maintenance work that is coordinated by the lead groundskeeper - ensure that strong communication is maintained for the coordination of work

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Perform all cashier duties including receipt of payments received by mail, both electronic and wire payments on a daily basis with quality customer service and professionalism. Maintain procedures.
Reconcile accounts affected by student accounts payments daily.
Ensure accurate processing of all outside scholarships received in both cashier systems and financial aid systems for proper 1098-T reporting.
Monitor and respond to SFS emails as needed.
Develop a full working knowledge of all facets of Colby’s semester billing and financial aid procedures including familiarity with FAFSA, CSS Profile and federal tax documents.
Verify aid documents received for aid applications.
Assist with follow up on missing aid documents.
Gain a general knowledge of Colby’s many other student services to the extent quality, first-point-of-contact service can be provided, and have the ability to discern when and to whom additional expertise is required.
Cultivate a broad understanding of College business policies and procedures.
Process and email student account statements to students and parents for whom permission has been granted in accordance with monthly protocol and compliance with FERPA.
Update myColby portal or other contact notation system with any and all relevant communications.
Maintain knowledge of legal collection guidelines and student privacy act.
Prepare and post student account adjustments for on-campus transactions to student accounts, including but not limited to approved meal plans adjustments, non-financial aid funding and late fee adjustments.
Post scholarship transactions to student accounts, document details in both student myColby portal and PowerFAIDS.
Assist with the administration of non-financial aid funding for approved, non-Colby opportunities and experiences by reviewing supporting documentation, preparing account journal including posting to the student account and appropriate cost center and ledger and uploading to document tracking system.
Post financial aid awards in conjunction with assistant director of student accounts.
Work closely with assistant director of student accounts to prepare for and test semester charges each billing cycle.
Partner with Jan Plan Trip leaders and assistant director of student accounts to administer Jan Plan Trip charges and receipts/funding.
Reconcile outside scholarship funds at the end of each month to ensure awards have been considering in aid awards.
Receipt monthly collections payments and reconcile collections accounts.
Provide back-up support to SFS team when needed.
Prepare journal for student direct deposit refunds from student accounts.
Perform additional duties as assigned.
Customer Service and SFS Responsibilities
Responsible for providing high quality customer service in person, online and by phone.
Coordinates communications with various Colby constituents and external governing bodies, and processes grants accordingly on behalf of our students.

QUALIFICATIONS:
Associate degree or higher preferred.
3-5 years of financial aid experience in financial aid.
Experience in financial aid management systems.

Experience in detailed oriented, front-facing customer service environment.
