Job Purpose

The incumbent is a team member in Corporate Services and supports the Manager of Finance & Admin. He / She ensures smooth daily operations by supervising and planning efficient administrative procedures, completing administrative duties and developing and improving systems, policies, and procedures. For Compliance, he/she supports Boys' Town in regulatory advisory, ensures compliance with ethical standards, laws, and best practices, and assists department heads with implementing and monitoring compliance activities.

Job Responsibilities

ADMIN

· Responsible for the day-to-day operations and ensuring smooth operations of the admin department.

· Plan and coordinate administrative procedures and systems and devise ways to streamline processes, improving administrative systems, policies, and procedures.

· Oversee and monitor the purchasing and inventory of office supplies with attention to budgetary constraints.

· Oversee admin services and maintenance activities ensuring they are carried out smoothly and in a timely manner (e.g., Water dispenser, photocopier, VMS).

· Ensuring all admin services equipment is working and properly maintained.

· Responsible for contracts management of the facilities and maintenance service contracts.

· Assist the Executive Director for relevant Committees related to Personal Data Protection, Emergency Management, Fire Safety and Risk Management.

· Assist in facilitating discussions and meetings of the respective committees.

Requirements

Job Purpose

To carry out all administrative and reception duties of Boy’s Town.

Responsibilities

• To support reception duties, visitors’ management and coordinate and sorting of all incoming mail.
• To answer calls from the public and provide accurate, satisfactory answers to their queries and concerns.

Job Purpose

This position is responsible for providing the safety and supervision of the residents throughout their sleep hours.

Responsibilities

• To be attentive and look into the wellbeing of residents by being available and to be accountable for the residents’ whereabouts when on duty.

The role of the Community Partnerships Executive is to maintain and develop successful partnerships with corporate and individual supporters, specifically through donations, sponsorship, fundraising and events. A major part of this role is to manage records and data on corporate and individual benefactors such as donors and volunteers effectively and identify and recruit high-value relationships with key corporate funders to support Boys’ Town’s major events and campaigns.

Marketing

• To coordinate and execute Foster Parents recruitment or outreach activities at various locations
• To create regular content and maintain the social media of BTFS
• To assist with the execution of the marketing plan to effectively market BTFS services and programmes

· To be attentive and look into the well-being of residents by being available and to be accountable for the residents’ whereabouts when on duty.

· To provide close supervision and maintain discipline of the residents in accordance with the daily programme.

· To coach the Youth Specialists in motivating and actively engaging the residents to participate in the BT/daily programme.

· To carry out any administrative work and portfolios assigned by the Residential Unit Managers.

· To conduct briefings with the next Duty Officer during the process of handling over duties.

· To coach and support the Youth Specialists in maintaining the good discipline of the boys in consultation with Residential Unit Managers and the Head of Residential Services.

· To support the Residential Unit Managers in implementing the relevant model of care/ services in accordance with the needs and profile of the residents.

· To assist the Residential Unit Managers in ensuring total compliance with SOPs, policies and regulatory requirements of Boys’ Town by keeping proper documentation as required.

· To ensure that all documents (SOPs, Portfolio, Fire-drill Report, BOV Report) are ready for checking by the management.

· To facilitate the induction process for all new staff who come on board.

· To be well-versed in incident management and to ensure that the daily programme returns to normal thereafter.

· To coach and guide the Youth Specialists in the planning of BT programmes.

· To assist in providing orientation, mentorship, coaching and supervision for new and current Youth Workers on their respective portfolios.

· To assist Residential Unit Managers and/ or the Head of Residential Services in the investigation of offences.

· To contribute to SOP-making within the home by providing feedback to management.

Requirements

• Minimum educational qualification of a Diploma, preferably in a related field e.g. Psychology, Counselling, Youth Work etc.

• Minimum of 2 years relevant working experience in a residential setting preferred.

• Basic counselling, mentoring and role modelling skills and understanding of human behaviour.
