SCOPE

Reporting to the Purchasing Manager, the incumbent in this position is responsible to procure quality food, beverages, materials, equipment, supplies and services for the hotel while minimizing cost.

OVERALL OBJECTIVES

REQUIREMENTS

· Proven experience as a Purchasing Executive, Purchasing Officer, or similar role preferably in the hotel industry.

· Strong negotiation skills with the ability to build and maintain successful vendor relationships.

· Excellent analytical and problem-solving abilities to identify cost-saving opportunities and resolve purchasing-related issues.

· Experience with hotel software (FutureLog, Micros, Sun system) an advantage.

· Strong computer skills, including Microsoft Office (Excel/Word).

· Exceptional communication and interpersonal skills to collaborate effectively with internal stakeholders and external suppliers.

· Ability to work independently with minimal supervision while also contributing to a team environment.

· Detail-oriented with a focus on accuracy and precision in all aspects of purchasing activities.

This is a 12-month contract role based onsite in Singapore.

The CX Operations Specialist will partner with our Community Experience (CX) team to support budget management, financial tracking, contract navigation and the end-to-end procurement process. They will report to the Global CX Operations Manager and work closely with internal and external partners to complete each process.

Responsibilities:

• On behalf of the CX team, proactively drive the end-to-end procurement process; monthly regional meetings to understand procurement needs e.g. onboarding new suppliers, contract requests, creation of purchase requisitions (PR’s), Third Party Agreements (TPA’s) and assisting with all other buy@ processes.

We're recruiting Assistant Procurement Executive / Procurement Executive to join our dynamic team! Based in Singapore, you will report to the Chief Operating Officer.

Job Description

• Process of orders from different outlets
• Daily check on balance stock for food items and materials
• Conduct daily briefing with kitchen team
• Required to place order during weekend via whatsapp
• Responsible to source, negotiate and purchase food items and materials
• Evaluate vendor's quotation to ensure that they are in line with the specifications requirement
• Resolve supply, quality, service and invoicing issues
• Work closely with internal stakeholders to understand the needs and source for suppliers
• Assist in Annual Performance Review for Vendors
• Evaluate Supplier performance based on quality standards, delivery time and best prices and ensure all criteria are met according to the organizational requirements and expectations
• Ensure suppliers be able to meet the established terms and conditions, commit the timeline given without compromising the quality of the service and products
• Admin/Data Entry of Daily invoices.
• Prepare monthly cost saving report
• Perform monthly inventory
• Assist in Halal renewal exercise / update halal certs
• Undertaking any other ad-hoc duties as assigned by Superior.

Job Requirements

• Diploma / Degree with minimum 4 years of relevant working experience with a proven track record in procurement function and currently holding equivalent or same level position
• Pleasant disposition with excellent communication skills, presentation and negotiation/ analytical skills
• Excellent time management and People Relationship Skills
• Mature, humble and proactive
• Ability to work in face-paced environment and meet the deadline
• Good computer knowledge

• Lead and Manage Customer Service Team (~ 15 to 20 members) under Assistant Customer Service Manager.
• Initiate and Manage Continuous Improvement Activities.
• Support data processing and analysis on inventory data / transaction data.
• To prepare relevant documents and participate in customer audit with operation team and quality team.
• To receive any escalations from existing customers; Conduct second-level fire-fighting upon receiving any complaints.
• Compile the relevant specification with operation team for any purchasing / sourcing.
• Communicate and liaise with procurement team for any operational supply, equipment.
• Assist Customer service Manager overseeing the operations under customer service functions.
• Attend to customer’s enquiries & complaints when required.
• Ensuring the smooth operation & cooperation with the team members.
• Monitoring customer service members, coordination & improvements.
• Participating/executing in costs reduction exercise so as to achieve cost optimisation for Customers and the Organisation.
• Identify/Engagement in new system implementation to actualise functions for each process. (Productivity improvement).
• Attend and facilitate customer monthly meetings.
• Prepare meeting minutes and verify KPI report before presenting in monthly meeting with customer.
• Verify the billing summaries prepared by the Customer service officer.
• Verify the billing reports to our customers as well as service agreements.
• Keep any operational documents properly.
• Immediate reporting to direct superior upon any irregularities

Job Requirements:

• Proven experience in Customer Service or a customer facing role within a B2B.
• Analysis of customer requirements and discussion with the internal team.
• Mature, self-motivated and able to work independently.
• With 3 to 5 years experience as a warehouse customer service Executive under any global LSP companies.
• Basic knowledge / experiences on warehouse management systems and documentation.
• Able to speak, read and write English upon directly communicating with customers or / and appointed vendors.
• Experience on Documentation such as checklists, temperature / RH reports.
• Able to compile KPI reports periodically.
• Able to verify the billing reports to our customers as well as service agreements.
