Monday - Friday

08.30am - 5.00pm (1 x 30 minute & 2 x 15 minute unpaid breaks)

The post will require you to undertake various clerical/reception and appointments duties in connection with the administration processes within Patient Access services. You must possess excellent communication skills both face to face and over the telephone. You must be able to use a keyboard to input information, as well as possessing a mature outlook when dealing with sensitive and confidential issues. To undertake various administrative duties associated with the custody and use of Health Records aswell as those associated with a patient’s admission and/or attendance to the Trust, as outlined in the
Patient Access Policy (OP39)

It is expected that staff will undertake duties relating to any aspect of service provided by the Patient Access Services Team.

It is expected that staff will be able to demonstrate a significant level of initiative in organising their workload and in taking decisions and action within clearly defined limits.

To be responsible for the accurate in-put, up-date and amendment of patient related information onto the computerised Patient Administration System (PAS), departmental Electronic Referral System (ERS)

To process all incoming referral letters in accordance with Trust policy, ensuring accurate input onto the Hospital PAS system and book outpatient appointments within agreed Trust targets.

To accurately record reasons for patient cancellations/change of appointments, including re-booking appointments as requested.

To be responsible for the booking of interpreters for patient clinic appointments as requested.

To take necessary action to book, cancel or change appointments on the PAS.

To be responsible for ensuring the daily unfilled slot report is dealt with and new/review patient slots are utilised and filled at short notice.

To raise any foreseeable capacity issues where patient slots are not available to your line managers

To prepare case notes/paperlite packs for all attendances ensuring they comply with the Standard Order of Case Notes, and to ensure X-ray and investigation proformas relevant to each attendance are
available.

To ensure all patient referrals are available for clinic ether electronically or in paper form for those areas where noteless working has not be adopted.

To amalgamate case notes where more than one record exists and to ensure that all Casenotes are filed in the recognised format

To provide a patient focused reception service, ensuring that the service is efficient and welcoming.

To update demographic details on PAS for each attendance in clinic and ask questions in line with the Data Quality Standards within the Health Records Policy - OP7

To make appointments, place on OWL and discharge patients where necessary using PAS

To update Referral ToTreatment (RTT) pathways for all pathways open and ensure all patients are either marked as attended or DNA on each clinic.

To arrange transport for patients as required.

To accurately input and update all patients related information onto the computerised Patient Administration System.

To ensure that the 18 week RTT pathways are opened and closed appropriately.

To be aware of, and adhere to all Trust & Local policies and procedures with regard to confidentiality, ensuring that all information handled within the department is dealt with to the highest standards of
confidentiality and security, and to respond in a professional & sensitive manner when dealing with confidential issues.

To be familiar and comply with all Divisional and Trust policies, procedures and practices.

To undertake mandatory training sessions and undergo training as deemed appropriate by your line Managers as and when required.

We are looking to appoint a Receptionist / Ward Clerk within Women and Neonatal services based at New Cross Hospital to cover in all other areas within the unit Maternity / Neonates.

The posts will undertake various clerical / reception and appointment duties in connection with the administration processes within Women and Neonatal services. You must possess excellent communication skills both face to face and over the telephone. You must be able to use a keyboard to input information, as well as possessing a mature outlook when dealing with sensitive and confidential issues. You must be flexible and be able to cover in the absence of colleagues.

This will include working in all locations within Women and Neonates to administer clinic preparation, appointments, updating PAS demographics for all ward transactions (admitting / discharging etc.) filing, appointment booking, CNC, scanning etc. You will be required to work in outpatient reception areas and ward reception areas and must be flexible. It is expected that staff will be able to demonstrate a reasonable level of initiative in organising their workloads and in taking decisions and action within clearly defined limits.

This is a rare opportunity to join and lead the Administration team within Audiology at the Royal Wolverhampton NHS Trust. We are a large team with 9 admin staff, 28 clinical staff and 2 students in training.

This may suit someone wishing to undertake a level 5 or 6 apprenticeship in operational or project management as this will be supported.

Professional Leadership

Provide leadership and development to the Admin Team. Training and supervision of new admin staff or temporary staff as appropriate.

Support and encourage staff in order to maintain high staff morale and motivation, prompting a team approach at all times. Communicate information in respect of hearing services to other professions and services, the public, other agencies and commissioners to promote better understanding of the needs of people with hearing difficulties and/or other associated symptoms i.e. balance and or tinnitus

Ensure that a clear supervision structure is in place across the admin service.

Project Management & Service Development

Provides a supporting service to the Audiology Services Manager with regard to organisational management. This will include scheduling complex staff rota’s to clearly defined parameters, resolving complex staffing issues and identifying areas where efficiencies can be made to ensure a smooth running service. This includes e-Roster scheduling and assisting with absence reporting/ monitoring and payroll documentation

Identifying policy and operating procedure areas for improvement and taking appropriate action to make improvements to policies which may affect clinical colleagues.

Supporting Audiology Service Manager in managing service reconfiguration and developments.

Service Management & Delivery

Responsible for the overall administrative position of department, participating in and supporting administrative work where necessary. This will include monitoring of appointment utilisation, validation of data and liaising with clinicians to ensure appointments are outcomed in a timely manner. Regular audit and production of dashboards will be a feature of this role.

Line manage Audiology staff within discrete service, through regular one to one meetings, annual appraisal and objective setting, performance management and the full range of employee relations areas.

Manage and develop the performance of the team

Participate in the recruitment processes for the designated Audiology service area in accordance with Trust policies.

Plan and carry out annual appraisal within set timeframes with direct line reports.

Assist with the efficient running of the department on a day to day basis, problem solving as appropriate.

Make judgements in a variety of situations where there are multiple options to resolve the issue such as resolving patient complaints or financial discrepancies.

Follow departmental protocols and be responsible for the management of improvements to working practices in conjunction with other Audiology leads.

Support the gathering and extraction of information for audit purposes. Will be required to manage a “Dashboard” database for performance management/monitoring purposes regarding patient treatment, activity and staff performance.

Act as an AuditBase lead, managing all aspects of the AuditBase system and ensure system is maintained at all times.

Monitor trends in data from databases in order to inform departmental policy decisions

Maintain data records using computerised system. To participate in obtaining information necessary for contract procurement, quality assurance as resource management including patient statistics. This will require knowledge of using Trust and National (S4H) computer information systems.

Responsible for ensuring administrative work for the department is completed by the admin team as agreed with the Audiology Services Manager and/or members of the senior clinical team.

Maintain accurate record keeping systems and management of computerised or manual medical records, providing effective/appropriate patient care.

Manage and prioritise own workload using own initiative and ensuring deadlines are met. Working to agreed national/local standards specifically the national diagnostic and RTT guidelines and the Trust Patient Access Policy.

Work in very close liaison with other admin staff within the Audiology Team. To be aware of their work practices and process to enable cover and support as and when required.

Responsible for liaising with Clinicians to ensure referrals received for triage are dealt with and returned in accordance with the Patient Access Policy and Local triage standard operating procedure.

Participate in the delivery of the Hearing Services 5 year development plan.

Complete administrative duties related to clinical activity and general administrative duties in a timely manner. This includes accessing and updating information to Trust and departmental information systems including AuditBase, PAS and Clinical Web Portal. This will involve close liaison with the admin team, medical staff and other members of the multi-disciplinary team.


Secretarial/Administrative

Provide a full and efficient administrative service to the department whilst adhering to user guidelines and agreed administrative processes.

Undertake administrative duties including word processing, as appropriate.

Organise team meetings and departmental governance meeting, ensuring efficient notification to team members of agenda’s, minutes, attachments and action logs.

Use appropriate departmental/Trust software to assist with the overall running of the department for example staff rostering & annual leave, word processing, spreadsheets, web portal, Prime Text etc.

1.01 Delivery of the Trust's rolling capital investment programme.
1.02 Management of individual construction schemes and projects as part of the programme.

Are you a Paediatric Registrar looking to develop skills in Simulation?

This is the post for you!

This is a 12 month regional simulation post specifically designed for the Middle Grade Trainee with an enthusiasm for teaching.

There will be three days per week for simulation training and 2 days per week in Acute Paediatrics on the Middle Grade rota.

The school of Paediatrics West Midlands is committed to the development of Simulation as a training modality for health professionals working with children.



This a well-established 12 month post in Paediatric simulation; to develop simulation in different healthcare contexts but primarily for paediatricians in training.



The post holder will support current regional simulation activities. These would include the Returning to work Programme, the ST3 STEPPS course, ST1 skills and Drills, the SUDI course and courses in acute behavioural Crises (CAMHS) and Palliative care. These are currently based at New Cross Hospital, Wolverhampton, specifically in SIMWard.



A twice monthly in situ simulation is run on the children’s ward-valuable experience to gain here in running this training and developing additional scenarios.

There will be 2 days per week of clinical commitments to Acute Paediatrics at New Cross Hospital. This will be at Tier 2 level-ie Paediatric Registrar (level ST4+) This will include Children’s ward, Paediatric Assessment unit, evening and night duties. This will be limited to ensure that there is sufficient and protected simulation training time. The fellow will be supported in the pursuit of a higher degree in Medical Education. These would include the Returning to work Programme, the ST3 STEPPS course, ST1 skills and Drills, the SUDI course and courses in acute behavioural Crises (CAMHS) and Palliative care. These are currently based at New Cross Hospital, Wolverhampton, specifically in SIMWard.



A twice monthly in situ simulation is run on the children’s ward-valuable experience to gain here in running this training and developing additional scenarios.



There will be a unique opportunity to develop a simulation project, jointly agreed with their supervisor, that compliments their training interests. It is envisaged that the post holder will gain valuable leadership skills and embed a culture where patient safety is integral to training.



There will be 2 days per week of clinical commitments to Acute Paediatrics at New Cross Hospital. This will be at Tier 2 level-ie Paediatric Registrar (level ST4+) This will include Children’s ward, Paediatric Assessment unit, evening and night duties. This will be limited to ensure that there is sufficient and protected simulation training time. The fellow will be supported in the pursuit of a higher degree in Medical Education. Specific details will depend on the candidate.



Learning opportunities

The Fellow will develop educational insight and capability in adult learning skills. These will include, lecturing, small group work, inter-professional learning skills in addition to working with undergraduate and postgraduate trainees in Paediatrics. The most significant developmental area will be within high fidelity simulation. Specific expertise will be gained in briefing and advanced debriefing.

There will be extensive exposure to teaching and training in Human Factors and skills in Crisis Resource Management.

To provide a comprehensive clinical pharmacy service to wards and departments providing a medicines management service directly to patients with support and training from experienced staff.

To provide advice to medical and nursing staff on drug usage, and encourage compliance with the hospital/health economy formulary to ensure safe, rational , and economic prescribing.

To provide professional pharmacist cover in all areas including inpatient and outpatient dispensaries, aseptic dispensing services, medicines information, and clinical pharmacy services according to specified rota.

To provide a professional lead to pharmacy technical and support staff managing medicines in designated ward areas.

The postholder will provide first line professional, comprehensive and timely advice to managers and staff on a range of general HR queries such as sickness absence management, terms and conditions of employment, disciplinary and grievance issues, performance management, and HR policies and procedures.

The postholder will
