Job Responsibilities:
- Provide administrative and secretarial support to the HOD.
- Responsible for company asset management.
- Recommend improvements or process enhancements to improve team productivity and cost efficiency.
- Deliver and manage administrative processes, assist in the compilation and documentation of administrative policies and procedures.
- Ensure the administrative records of the department are kept up to date and all necessary filing is made on a timely basis.
- Produce and monitor regular reports and statistics on a daily, weekly and monthly basis.
- Directs office activities and functions to maintain efficiency and compliance with company policies.
- Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
- Prepare internal and external correspondences including memos, letters, notices, reports & presentations
- Support and coordinate activities, events and other initiatives organized by the department and company.
- Assist in procurement & expenditure requisition such as sourcing for quotations, tabling comparisons and preparing purchase orders
- Assist in arranging for appointments/meetings and take notes/minutes where necessary
- Assist in maintaining office supplies inventory and place orders when necessary.
Undertake other ad-hoc projects or assignments assigned by HOD when required.
Requirements:
- At least a Diploma or Bachelor’s Degree in Business Studies/ Administration/ Management or equivalent.
- At least 2 years of working experience in the related field.
- Able to prioritize tasks and delegate them when appropriate.
- Required Skill: MS Excel, MS PowerPoint, MS Word.
- Pleasant personality, good team player, strong planning and organizing skills,
- and strong communication and interpersonal skills.
