Overview

The HR Operations Intern supports daily HR operational activities, focusing on employee administration, HR documentation, data management, and coordination of HR processes. This role assists the HR team in ensuring accurate employee records, smooth HR administration processes, and timely support for employee lifecycle activities including onboarding, offboarding, and employee data maintenance.

Key Responsibilities

HR Administration & Documentation

  • Support daily HR administrative activities and ensure HR documents are properly maintained and organized
  • Assist in preparing, checking, and filing employee documents
  • Maintain employee files and ensure documentation accuracy and completeness


Employee Data Management

  • Assist in updating and maintaining employee databases and HR systems
  • Ensure employee information is accurate and updated in HR records
  • Support HR reporting activities by collecting and consolidating employee data
  • Maintain confidentiality of employee information


Onboarding & Offboarding Support

  • Support onboarding administration including document preparation and tracking completion
  • Assist offboarding administration including checklist completion and record updates


Attendance & HR Operations Support

  • Assist in collecting and reviewing attendance data and timesheets
  • Support HR operational reports and employee administration inquiries
  • Support HR projects and employee engagement activities


Key Accountabilities

  • Ensure HR administrative tasks are completed accurately and within timeline
  • Maintain accurate employee records and HR documentation
  • Ensure confidentiality and proper handling of employee information
  • Provide effective administrative support to HR Operations team


Person Specifications

Education

  • Final year student or fresh graduate from Psychology, Human Resources Management, Business Administration, or related fields


Experience

  • Previous internship experience in HR/Admin is an advantage


Knowledge

  • Basic understanding of Human Resources functions
  • Basic knowledge of employee administration and HR documentation
  • Familiarity with Microsoft Office and HR systems is preferred


Skills

  • Good administrative and organizational skills
  • Strong attention to detail and accuracy
  • Good communication and coordination skills
  • Proficient in Microsoft Office tools
