Description/Job Summary
Administrative Assistant will be supporting the office on tasks related to reception coverage, administration, operation, human resources and secretarial services.
Responsibilities/Duties
- Provides administrative support to ensure efficient and smooth office operations and effective coordination of some internal office events
- Assists in Law Society matters (registrations, filing and applications, etc)
- Provides reception coverage services
- Provides secretarial services
- Provides services to the managers’ travel arrangements and expenses reimbursements
- Maintains the snacks ordering
- Maintains Admin/HR physical and digital filing systems to ensure data accuracy and records are up-to-date
- Coordinates logistics for meetings/CLEs/events, including room setup and catering
- Works with Building Management maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand
- Coordinates logistics and handles administrative matters for summer associates and new hires (temporary housing arrangement, car pickup, etc)
- Works closely with other administrative staff and supports other colleagues as needed
- Works with sensitive information with discretion to maintain confidentiality and security and ensures compliance with privacy policies and regulations
- Ensures that deadlines are met and adapts to changing priorities
- Other ad hoc tasks as assigned by supervisors
Required Skills
- Bachelor’s degree or equivalent preferred
Preferred Skills
- 1-2 years of relevant experience preferably in legal services industry
- Highly proficient in written and spoken English and Mandarin
- Strong team player with excellent communication and customer service skills
- Strong attention to detail and highly organized
- Pleasant, confident, approachable, proactive and professional
- Flexibility to work varied hours as needed
