Job Requirements:

• Candidate must possess at least Diploma, Advanced Diploma, Bachelor’s Degree/ Professional Degree in Corporate Administration/ Management/partial or full qualification of ICSA equivalent.
• Fresh graduates are encouraged to apply as on the jobs training will be provided.
• Familiarity with Microsoft Word, Excel and Secretarial software would be an added advantage

Job Descriptions:

• Assist the company secretary in all aspects of secretarial duties and administrative matters.
• Managing a portfolio of clients independently.
• Assist in maintaining and updating of statutory books and records of clients on timely basis to ensure compliance with the Companies Act, 2016.
• Assist in incorporation of new companies, preparation of statutory forms, annual return using MBRS tools, MyCoID online platform, resolutions, minutes and other corporate secretarial documents and ensure proper filing system.
• Ensure proper and timely filing of statutory returns and forms with SSM and all compliance deadlines are met.
• Liaising with clients, SSM and all other relevant authorities in connection with company secretarial matters.
• Ensure prompt response and delivery of assignments to clients.
• Providing advice on compliance requirements and ensure clients’ compliance with statutory and regulatory requirements.

Secretary general duties:

• Screening and answering calls, taking messages and handling correspondence
• Managing the daily/weekly/monthly agenda and arrange new meetings and appointments
• Preparing and disseminating correspondence, memos and forms
• Typing, preparing, filling and collating reports
• Organising and servicing meetings (producing agendas and taking minutes)
• Managing databases
• Prioritising workloads, running errands, arranging beverages for guests
• Liaising with relevant organisations and clients
• Make travel arrangements
• Printing and copying documents as needed.
• Sometimes also help with personal tasks like meal prep and light cleaning.

Non-Routine Task
Undertaking special project activities which may be assigned from time to time

Other Requirements: -

• First Grader in SPM with Diploma/Degree from a recognized institution.
• Good human Skills with pleasant personality.
• Valid driver’s license
• Strong sense of responsibility and ability to complete tasks with minimum supervision
