The Executive Secretary will provide high-level administrative support to the senior management team and ensure the efficient operation of the office.
Responsibilities:
Manage the calendar/ schedule to ensure smooth arrangements of appointments and activities in a proactive manner
Coordinate and set-up meetings, including sending meeting invites to all attendees, tracking acceptance of attendees, and booking of relevant facilities/venues
Perform administrative functions such as managing claims & expenses, track access rights, updating of team offsites & distribution lists
Assist in business travel support and arrangement including VISA application, travel claims, maintaining travel records, preparing itineraries, and managing meeting schedules for overseas trips
Participate in ad-hoc project-based work and support any other administrative duties assigned
Requirements:
At least 5 years of executive secretarial and administrative experience, preferably working with senior management in banking environment
Independent, strong planning and organisation skills, meticulous and ability to multitask
Good time-management skills with ability to prioritise tasks assigned and handle confidential matters with discretion
Effective listening, communication, and interpersonal skills
Strong team player who is proactive and takes initiative
Proficient with office automation and technology and, keeps up to date with the latest desktop applications including but not limited to MS Word, Excel, and Outlook
