Job Responsibilities:

• Lead a team to run daily operation at the client’s premise, ensuring and overseeing the performance standards of staff to promote efficient and effective maintenance of the building.
• Attend to all cases promptly and rectify them with minimal inconvenience or disruption caused.
• Responsible for the delivery and performance of IFM contract deliverables, as well as plan and supervise preventive maintenance works at the client’s premise.
• Meet KPI standards, devise pro-active measures to improve building maintenance standards efficiency, regularly review Standard Operating Procedures (SOPs) and ensure full compliance to regulatory requirements.
• Key point of contact with Client and Key stakeholders across client sites for the areas of responsibility and its occupants, acting as their service provider liaison.
• Lead the onsite team and ensure delivery of highest FM and workplace services standards in order to achieve a safe, code-compliant, functional, comfortable, energy efficient and attractive facilities/site infrastructure.
• Responsible for the managing of contracts, Capex & Opex expense budgets within approved allocations with monthly updates.

Job Requirements:

• Minimally Diploma holder in facilities management or equivalent function with minimum of 8 years of relevant experience in facilities operations management
• 3 years of experience leading a team in a high rise building of at least 9 storeys high, preferably with experience in managing office buildings
• Fire Safety Manager certification is a must
• Location: Woodlands

Job Scope:

• In charge of audio and visual systems, video conferencing system, digital recording system, and integration/ development of such systems and facilities.
• Involves overseeing the planning, implementation, and maintenance of technology solutions to enhance processes.
• The Manager will need to stay updated on technological advancements in this area, coordinate with IT professionals, and ensure the seamless operation of audio-visual, video conferencing and digital recording to support the proceedings.
• He / She will work with other managers and executives to manage the facilities in the company.
• Manage the audio visual, video conferencing and digital audio recording system in the hearing venues to ensure operational readiness.
• Put in place processes to ensure Service Level Agreements (SLA) are met for audio visual, video conferencing and digital audio recording systems and operational checklists are adhered to.
• Ensure that the audio visual, video conferencing and digital audio recording systems are well-maintained and liaise with the vendors on the preventive and corrective actions to be taken.
• Provide technical expertise/ support to the team and troubleshoot complex issues when required.
• Stay updated on emerging trends and advancements in audio visual, video conferencing and digital audio recording technologies.
• Formulate and implement workflows to achieve operational effectiveness and efficiency.
• Plan and manage the coordination work for major events which require audio visual and/ or video conferencing set-up.

Responsibilities:

• Lead the Facilities Management (FM) team in full scope of FM hard and soft services
• Responsible for communicating department facility-related activities and projects to management
• Lead, plan and manage preventive, corrective and maintenance work schedules for the mall
• Review and monitor term contracts for all building services installations and facilities’ services
• Ensure compliance with the safety and statutory requirements for the mall and operations
• Budgeting and managing expenses for all operational and capital expenditure works including monitoring of procurement administration and control for compliance
• Monitor and analyse the monthly utilities consumption trend to manage energy and water usage
• Track, monitor and chase down completion of work stages to ensure timely completion and compliance of house rules at all stages of the design and fit-out work

• Supervise and monitor staff, consultants and contractors on all projects assigned to ensure on-time completion and deliverables based on KPIs

Requirements:

• Degree/ Diploma in Mechanical/ Electrical Engineering or equivalent
• Minimum 5 years of relevant experience in Real Estate, Facilities Operations Management
• Possess hands-on experience in Facilities Management, Project and Maintenance Operations include ACMV, Electrical and Fire Protection services
• Must be well-versed and experienced with good technical competency in M&E matters
• Candidate should possess Senior/ FSM certificate
• Candidate with certification in GMM/ GMFM has an added advantage

What you'll do

Maintenance Team

• Schedule maintenance roster
• Open work orders prior to maintenance and close work orders once complete by maintenance.
• Complete discrepancy sheets, reports or due events for the maintenance technician.
• Update logbook binders to include event status sheets,
• Submit invoices to the department, track delivery of parts, and ensure payment.
• Perform research for operations requirements if needed.
• Answer phones, respond to emails, file paperwork, and distribute mail to management and maintenance personnel.
• Have maintenance records and schedulesreadily available upon management request.

Inventory

• Manage inventory which includes ordering parts and supplies for operations
• Support maintenance team with inventory supplies and data
• Schedule delivery pickups in addition to supplies

Inside Sales Support

• Create and maintain sales proposals, orders, customer contacts, and other documentation in the appropriate system
• Follow up maintenance repair or additional works, by quoting to customer
