RESPONSIBILITIES
Senior Facilities Executive / Facilities Executive / Facilities Officers
The Facilities Operations Department manages Kaplan Singapore’s facilities, infrastructure, and environment optimally to support its strategic plan and continual improvement and growth.
This department will have the overall responsibility for the proper operation and maintenance, efficiency of daily operations, safety, and security of the assets.

Job Responsibilities:
- Assist in Facilities and Maintenance Work:
- Monitor and recommend replacement or improvement to equipment, facilities, and services before the end of their life span. These include projectors and bulbs, Av equipment, and any teaching tools.
- Troubleshooting and being able to rectify AV and audio equipment in the classrooms before class/workshop started, if unable to resolve by Facilities Officers
- Conduct a daily check on the grounds to ensure that the general areas of the classrooms are cleaned and equipment is well maintained.
- Conduct or assign a senior staff member for inspections with the term contractors, like cleaning, landscape, pest control and fire protection system checks, to ensure that the services are carried out and maintained to the standard set by management and/or the authorities.
- Oversee the carrying out of any fitting-out works on campus.
- Assist in Feedback Channels and Customer Services:
- Receive and attend to feedback from lecturers, customers, and students, and keep proper records of complaints, feedback, and attention taken to resolve the problems.
- Assist in Administration and Management:
- To liaise with building landlords, auditors, and relevant government authorities on matters pertaining to Kaplan Singapore.
- To liaise with local authorities on matters relating to the maintenance and repairs of the subject property, including the Building Management Unit.
- To build an efficient and effective Operations and Facilities Team.
- To give full support to academic operations and its requirements.
- To establish good vendor management so as to provide quality service for Kaplan.
- To manage and maintain good security measures for campus premises and offices.
- To supervise the facility personnel and to ensure that their duties and responsibilities are carried out properly and efficiently.
- Liaison with all relevant Academic departments for any requests on classroom setting up and establishing proper procedures and processes
- Oversee the Ops task duties of the Facilities personnel and check all ground works to ensure they are carried out diligently.
- For Senior Facilities Executives:
Assist in Supervision of Facilities Executives and Facilities Officers:
- Plan team work schedule and OT.
- Ensure balance task assigned between team.
- Manage office and store cleanliness and tidiness.
- Ensure training for Facilities Officer
QUALIFICATIONS
Job Requirements:
- ITE or Diploma in Facilities, Project Management, Engineering, or equivalent
- At least 2-5 years of experience in facilities operations
- AV Systems, Air Conditioning, Electrical, Electronics, Fire Protection, and Plumbing are all required.
- Good communication skills for use in interfacing with internal and external stakeholders.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
Strong interpersonal and relationship management skills, with the ability to work and communicate effectively with different stakeholders at all levels.
