Education/Qualification        :-

Experience              :-

• A MINIMUM OF 1 YEAR OR WORKING EXPERIENCE PERFORMING ADMINISTRATIVE DUTIES AS AN ADMINISTRATIVE ASSISTANT OR COORDINATOR, ETC.

Job description

• Manage sales order processing based on work order and ensure accuracy in pricing and product details
• Verify customer's payment or credit status or obtain credit authorization from management
• Verify order details and contact customers if necessary
• Check stock availability, raise purchase requisition where necessary and coordinate stock replenishment
• System set up and data entry for new customers and suppliers; and ensure that customers records are accurate and up to date
• Ensure proper housekeeping and filing of documents and records
• Liaise with warehouse and ensure timely delivery to customers sites

To provide clerical, administrative duties and coordinate general administration within sheltered workshop.

• Work with Team Lead and Manager to achieve and submit key performance indicators of Sheltered Workshop, specifically the Enhanced Programme Evaluation System (EPES) and Enabling Transport Subsidy (ETS) to operationalise at optimal level.
• Ensure Service Standard Requirements of funders are achieved and adhered to. Prompt delivery of services and develop good customer relationship so as to support the different programmes of the workshop.
• Monitor ageing report and ensure prompt payment by customers.
• Provide data required for analysis and decision making.
• Update Quality Manual /Quality Procedure of the programme.
• Maintain and update all relevant databases especially the Client Management System (CMS). Provide CMS support to the different audit exercises during the year.
• Process the attendance and monthly training allowances/incentives through the application system for all the trainees in Sheltered Workshop. Liaise with Finance Department for the timely payment of the allowances.
• Provide close monitoring all the payments made by customers from the different programmes in Sheltered Workshop.
• Coordinate trainees’ transport needs with transport vendors and Facilities and Admin. Department.
• Handling basic office duties, such as answering and routing phones, responding to emails, data entry, and reporting.
• Organise department activities such as CSR, team bonding and retreat.
• Perform any other duties as assigned from time to time by the Manager.

JOB HOLDER’S REQUIREMENT

• Possess Diploma and above.
• Have at least 2 to 3 years’ experience in production operations and/or supervision work.
• Strong interest and experience in coaching or vocational/ work skills training for adults with disabilities.
• A self-motivated team player, adaptable and ability to multi-task.
