The role
We are looking for a dedicated income specialist to support the wider management team. You will support the wider management team, to manage and allocate workflow. You will be providing advice and guidance to assist customers in all areas relating to income collection, e.g. tenancy enforcement, arrears recover, and ensure compliance on all related policies.
You will take ownership of performance frameworks to ensure your own and wider team are being measured against KPI and ensuring quality on delivery. You will have a keen customer focus to ensure service levels are maintained.
The team work in a hybrid way and work within the Customer Hub in Coventry and from home.
This role is part of Customer & Communities where you'll help us to lead the way keeping our promise to more than 100,000 customers.
What you'll achieve

Investigate and manage disputed debts, undertake income administration and debt recovery.
Take ownership and management of performance in quality in own role and that of the team. Ensure policy and procedures are followed.
Ensure efficient collection of all charges and process referrals for court and enforcement action
Engage with stakeholders, supporting initiatives round financial inclusion, welfare reform and homelessness.
Work with management team to interpret arrears, targeting resources appropriately

Essential skills

To manage FOI requests following the FOI end to end process in logging, receipting, checking, processing and drafting FOI responses To be familiar with all types of requests coming into the office, checking all requests for authenticity, accuracy of information, the type of request and deadline To prioritise your workload in view of urgent requests that may come in, working collaboratively with your colleagues To discern difficult requests involving safeguarding matters and to seek advice on the redaction and disclosure of these as appropriate To be aware of new requests received by e-mail, post, on the data management system or by phone throughout the day To prioritise and to react to urgent short notice requests from the police, courts, coroner, or other healthcare providers with support from your team and the access team leader as necessary To pass on requests to the legal team as appropriate To be able to work in an organised manner, working simultaneously on several requests and to have an eye for detail, to check for completeness and correct details on all documents for relevant information, errors and misfiles To understand what to redact in terms of third-party information and to remove it conscientiously, taking advise from FOI and A2HR Team Leader as appropriate To be constantly aware of statutory deadlines and work to those deadlines diligently, supplying information in a timely manner To respond to delays in the process and work to resolve issues making the FOI and A2HR Team Leader aware of problems when they arise To have strong communication skills with patients and relatives, being able to undertake complicated conversations in relation to access to health records, employing patience and understanding where there may be a language barrier, impairment, illness, bereavement, frustration or emotional distress and to communicate effectively with Trust and / or Group colleagues and outside agencies in a professional, kindly manner To be able to apply the principles of Data Protection and the laws around access to standard requests, with support from the FOI and A2HR Manager/Team Leader if the request is complex or unusual To ensure patient confidentiality at all times, taking care not to divulge personal information to anyone who does not have the right-to-know and to keep all information secure, taking care only to transmit information by a secure means in line with Trust and / or Group policy to those who have a right to the information by law To have a flexible and positive attitude to changing and improving practices and to contribute to the smooth running of the office putting forward ideas for improvement To work as a team as well as being able to prioritise own workload To report any breaches of confidential information on the Datix reporting system To identify the appropriate patients and log all requests for information on the appropriate access database and to take a systematic approach to working through the request from receipt to completion. Key Result Areas and Performance As a valued member of the Communications Team, the post holder will be involved in a wide range of communications and engagement activities as we deliver a comprehensive service for the Trust. 1. To provide a highly visible point of contact for patients or a representative raising an enquiry or complaint. 2. To act as a key point of contact for patients or their representatives through liaising with them to understand and to take details of their enquiry or complaint, whether that be in person, over the telephone or by written correspondence. 3. To produce high quality acknowledgement letters, confirming the complaint details and the patients or their representatives desired outcome. 4. To provide comprehensive support to those accessing and using the service through explaining and agreeing with them how their enquiry or complaint will be investigated. 5. To maintain an excellent understanding of data protection regulations and the Complaints Policy to ensure that patient information in only shared when it is appropriate to do so. 6. To ensure all contacts are kept fully updated throughout their case. 7. To refer clients to advocacy services and other health and social care services when appropriate. 8. To plan and facilitate complaint meetings and other methods of resolving patient, family and carers concerns. 9. Communicate complex and sensitive information to patients, relatives and carers in a compassionate manner and advise them of their options if they are dissatisfied with the outcome of their enquiry or complaint. 10. Maintain an excellent awareness of the Trusts Patient Safety Process and to recognise and flag when any issues raised within a complaint may constitute a patient safety incident. 11. Work in close collaboration with staff across the Patient Relations Team and wider Trust to ensure we deliver a patient centred approach to the handling of enquiries and concerns. 12. Maintain accurate and up to date electronic case records on the Trusts incident management system and on other programmes, such as Microsoft Excel. 13. Maintain a good working knowledge of accessibility standards to identify any requirements of service users and to make reasonable adjustments wherever required in order to provide an accessible service. 14. We are looking to recruit an Income Collection and Recovery Officer to provide advice and assistance to customers on all areas related to income collection and recovery. In addition to maximising income through tenancy enforcement, negotiation, arrears recovery and triage.
This role is part of Customer & Communities where you'll help us to lead the way keeping our promise to more than 100,000 customers.

You will deal with pre legal queries, and proactively contact customers to resolve debt issues and negotiate repayment schemes.
