Job Overview

The Purchasing & Receiving Executive is responsible for the sourcing of quotations and purchasing of perishable and non-perishable items for all user departments, and coordinates all administrative matters within the department and other departments on purchases. The individual ensures that all Purchase Requests are in proper order as per hotel policies and procedures, obtains competitive quotations and sources for new products for cost effectiveness, and monitors market trends and prices for all products.

Key Responsibilities

• Coordinate all administrative matters within the department and other departments on purchases
• Process the Daily Market List Purchase Requests (PRs)
• Calling of quotations / Perishable Tenders
• Handling/consolidating/analyzing/negotiating with all price quotes for perishable purchases
• Obtain products/goods at competitive prices without compromise the desired quality standard
• Check the incoming goods according to POs and invoices (quantity, quality, price, etc)
• Contact supplier if a mistake is identified
• Posting of Invoices into the system
• Keep abreast of the changing market conditions regulating price increase, new products
• Site visit to supplier factory/plants

Talent Profile

• Minimum Diploma Education
• Understanding of Purchasing principles and processes
• Experience with Purchasing systems (preferred)
• Analytical and have the ability to solve purchasing and inventory related problems
• Strong data entry skills
• Proactive, highly motivated and flexible
• Highly organized
• Experienced with MS Office including Word, Excel, and Outlook

What a Procurement Engineer does in HP:

• Lead and drive supply chain (procurement and cost management) initiatives for New Product Introductions and current products across R&D, Operations, Service organizations and Manufacturing Partners (MPA).
• Collaborate with MPA on supplier development, management (quality tracking, resolution, cost improvement, spares/service delivery and assurance of supply).
• Act as focal point of contact for performance and corrective action for materials used in products and escalations.
• Evaluate suppliers and partners capacity to meet production requirements, quality maturity and cost competitiveness.
• Manage complex business issues, build availability, and end-of-life management at MPA's site.
• Collaborate and communicate with management, internal, and outsourced manufacturing partners regarding NPI, current products & spares, project progress, and issue resolutions.
• Lead and provide expertise to functional project teams and participate in cross functional activities.
• Exercise independent judgement within broadly defined policies and practices to determine best method for accomplishing work and achieving objectives.

Individuals who will do well in this role in HP, usually possess:

• Bachelor's or master's degree in mechanical, Electrical, or other Engineering, or equivalent.
• 2-5 years of experience in procurement, manufacturing and engineering.
• Using appropriate engineering design tools and software packages to design components and solutions.
• Strong analytical and problem-solving skills.
• Understanding of material properties and hardware, software, and electrical component design
• Work on complex problems/projects where analysis of situations and/or data requires an in-depth evaluation of factors and conditions.
• Using appropriate engineering tools and software packages to design solutions.
• Excellent written and verbal communication skills; mastery in English and local language. Ability to effectively communicate product architectures, design proposals and negotiate options at management levels.

Main Duties and Key Responsibilities:

• Prepare Purchase Order and ensure documents are in order.
• Follow-up on delivery status.
• Place orders for all F&B perishable products / Daily Market List.
• Source for comparison prices.
• Update and keep proper records of F&B and non-food purchases
• Conduct all food-related tenders.
• Handling of discrepancies/defects with suppliers.
• Maintain the filing system of purchasing records.
• Follow up with amendments if required.
• Coordinate with Receiving Store on incoming goods.
• Liaise with Finance on payment and credit issues.
• Work with internal departments to review the end users' requirements and delivery lead time.
• Assist in any other ad-hoc duties as assigned.

Job Requirements:

• Possess Diploma in any discipline.
• At least 2-3 years of working experience in purchasing management.

Responsibilities :

• Strategic sourcing and procurement of F&B, Capex and NIP purchases
• Improve prices and terms of business with suppliers
• Negotiating new / renew contracts
• Arrange for product demo/food tasting
• Create new vendor and item in Purchasing System (SCM)
• Work closely with Chef and other departments to develop alternative sources
• Ensure departments adhere to minimum quotations as per SOP for all PRs before submission to a higher level for approval
• Generate POs and liaise with vendors for delivery
• Build rapport with vendors and maintain a strong network of vendors
• Generate weekly outstanding PRs and POs reports for end users and ensure they are timely completed
• Ensure Purchasing KPIs are met
• Initiate work process improvements
• Oversees renovation/project works
• Liaise with the contractor on the work schedule
• Ensure renovation work/projects are carried out according to the schedule
• Co-ordinate with other departments & oversees matters relating to renovation/project work
• Conduct patrol on renovation/project
• Assist in identifying/consolidating defects issues and follow up with contractors

Requirements :

• Hotel experience has a strong advantage
• Minimum 5 years of relevant working experience
• Past involvement in renovation/projects will be an added advantage
• Self-motivated and able to work independently with minimum supervision

Job Responsibilities:

• Ensure all activities are executed in full compliance with the company rules, policies and procedures and in full compliance with the laws and regulations within the countries that we operate and as well as the requirements of the charterers for whom we work and standard industry rules.
• Ensure all requisition form (RF) raised (By vessels or office) are sourced, evaluated, negotiated within
• 1-3 Days window for RFs marked as Urgent (U).
• 3-5 Days window for RFs marked as Normal (N).
• Ensure that all transactions are carried out to ensure best value for money and this is supported by valid documentation.
• Ensure that all purchases made through the Purchasing Department are properly authorized and conforms to quality specifications and standards.
• On approval as per DOA, Prepare Purchase Order in SAP, follow-up with suppliers for prompt delivery.
• Managing Freight Forwarder, clearing and last mile delivery agents for shipments arrangement to vessel or warehouse.
• Ensure confirmation of goods and services delivered or completed respectively is recorded. Support Account’s payables for follow-up monitoring & tracking Delivery Orders (DO) and submitted for Good Receipt processing within 30 days after completion or orders or service job completion.
• Maintain accurate and comprehensive information on all purchases made and ensure that all purchasing records are updated and filed accordingly
• Ensure no Purchase Order (PO) are HELD in SAP Purchase Order Module for more than 1 week.
• Ensure all Orders / Repair jobs must have a complete and comprehensive Purchase orders before goods delivery/job start (otherwise will constitute a Cart-Before-Horse (CBH) case. For any exceptions, refer to SCM Manual/Line Manager.
• Prepare and/or provide inputs to weekly and monthly MIS reports.
• Any other duties related to purchasing as assigned by Regional SCM Manager and Management.

Job Requirements:

• Diploma/Degree Holder in Supply Chain Management discipline or Diploma/Degree in Engineering discipline.
• Must have 1 – 3 years of purchasing & negotiation experience is an added advantage
• Well versed in MS Office, familiar with SAP (MM Module) is preferred
• Possess effective planning and analytical skills
• Good interpersonal negotiation and communication skills
• Ability to work under pressure and multi-task
• Able to handle routine tasks and follow procedure to keep documentation consistent
