Main Responsibilities

• Responsible for the full spectrum of HR and administrative functions including recruitment, payroll, performance and talent management, internal communication, employee relation and administration.
• To process the accurate full cycle of monthly payroll, reconciliation reports, and other relevant reports (eg. EFP, SOCSO, LHDN, etc.)
• Responsible for managing, coordinating learning and development courses, employee engagement and other activities initiated by the HR department.
• Design and implement company policies and procedures related to people management and ensure HR policies comply with labour and Industrial relations regulations.
• Implement and administer HR policies and procedures in accordance with organisational goals and are compliance with professional standards, state and federal regulatory requirements and law.
• Support current and future business needs through the development, engagement, motivation and preservation of human capital.
• Conduct and facilitate appraisal exercises and salary surveys and assist in developing and analysing the company's evaluation programs.
• Managing recruitment needs, including creating/updating job descriptions, and onboarding and offboarding processes.
• Other administrative and/or ad-hoc task to support the day-to-day operations and improving work processes.
•  To manage all branch employees.

Key Requirements

• A diploma/degree holder in HR or equivalent qualification, with a minimum of 5 years of experience in HR/Admin field.
• Prior relevant working experience working in manufacturing/FMCG industries would be a plus, but not compulsory.
• Able to communicate in English and Bahasa Malaysia. We seek Mandarin-speaking candidates who are required to communicate with mandarin-speaking clients.
• Strong knowledge of local employment regulations and work pass management.
  Good knowledge of Microsoft Office, iFlexi HRM system, or equivalent HR system.
• Strong time management and organization skills, and ability to work in a fast-paced environment with minimal supervision.
• Good interpersonal skill and communication skill.
• Good team player.
• Possess Can-Do attitude.

Your duties and responsibilities include but not limited to:

• Handle, administer and execute all office admin duties & operation tasks which include paperwork such as issuance of Invoices, Delivery Order, Credit Note, Debit Note and others related paperwork to ensure smooth operations.
• To attend phone calls, email reply & postage.
• Assist and co-ordinate in preparation of daily schedule & logistics with Sales and Operation Department.
• Ensure all the project(s) photos to be updated and kept onto the respective folder in the server.
• Undertake the tasks of receiving calls, take and conveying messages and routing all correspondence to respective personnel.
• Resolve and handle administrative issues and queries appropriately. Dealing with client(s) complaint such as on CN, invoicing, shortage of delivery, delay of delivery, etc.
• Follow up and liaises with respective department and assist on overdue payment collection and reports. Issuance of Reminder letter and CTOS letter to all Outstanding Payment Client(s) as well as co-ordinate with Lawyer for the Issuance of Demand letter.
• Coordinating with clients applying the work permit & attending the site safety briefing class as require for the respective projects.
• Support the sales research and analysis which may include preparation of reports and presentation on sales performance to provide analytical support and data to contribute to increasing profitability and continuous improvement.
• Maintain databases, utilizing appropriate software, systems and metrics to provide accurate and timely data to inform decision making and contribute to respective personnel and department.
• Organize and carry out an efficient documentation/records, files, reports are properly filed and kept daily.
• Compiling of monthly/ad-hoc reports for review and tracking purposes that require by the Management.
• Manage and monitor office supplies and bills, reorder when required.
• Perform ad-hoc duties as when assigned and required by the Management from time to time.
• Knowledge of SQL system would be an added advantage.
• Proficient in using Microsoft Excel, Microsoft Word and Microsoft Powerpoint.
• Able to write and speak clearly in Chinese, English and Malay.

Job Description

• To source products, to request quotation, samples and negotiate price and terms with supplier.
• To review order replenishment, place order to supplier and follow up on payment and goods delivery.
• Ensure all procured items meet the specification, quality, halal requirement, and food act/regulations.
