Undergraduate (UG) Academic Matters
UG students matters
• Assist in student queries for undergraduate programmes, freshmen queries, etc.
Timetabling matters / Teaching Assignment / Teaching Staff Schedule
• Update and schedule UG modules in CMIS Timetabling system, checking on teaching assignment, generate teaching staff schedule, etc.
Student Feedback (BLUE) system
• Update and verify data in the BLUE system.
Examination related matters
• Exam admin duties, conduct script check, administer Exam Review (from application to results of review), etc.
Assist in UG / Outreach events
• Industry Visits, Welcome Tea, Open House, Freshmen Party, etc.
Covering for UG staff on maternity from Oct 2023 to Jan 2024
• Course Registration: Assist in student queries, course allocation, tutorial and lab registration during Course Registration period.
• Accreditation: Assist in planning and logistics for the accreditation site visit in Oct 2023.
Secondary:
• In charge of issuing purchasing orders (PO) using Sesami.
• Issue & purchase of office stationery, arrange and dispose outdated paper documents.
• Student Life & Outreach Admin Support: Logistics, processing of claims, etc.
• Prepare roster for counter duties.
• Facilities/equipment Coordinator in general office: In charge of general office fixed assets inventories, update online SAP system and creation of asset numbers, etc.
• Manage telco, photocopier, international courier / postage services, etc.
• Issuing of room keys & housekeeping of key box list for labs and staff room.
• Phone call enquiries / mail collection / counter duties (rotation)
• Other administrative tasks / ad-hoc duties upon request
Qualifications
• Diploma holder with relevant working experience would be advantageous.
• Meticulous and articulate.
• Committed, willingness to learn.
• Proficient in Microsoft Office applications.
