Job Description:

(Admin)

1. Order office supplies and keep stock control

2. Liaise with management officers

3. Update calendar, manage occupancy of conference room & meeting room

4. Assist in HR work

- Recruitment: Job posting, schedule interview time, conduct orientation, etc

- Appraisal: Schedule Appraisal Time, Collect Appraisal Form

5. Organize/Assist in Event Planning

- Festive Hamper Arrangement

- Organize/Assist in organizing events such as company annual dinner, company activities, company trips etc.

6. Perform other clerical duties such as filing, photocopying, ect

7. Ad-hoc tasks requested (Wine acknowledgement of receipt letter, arrange postages and deliveries, send documents to bank)

(Receptionist)

1. Usher visitors to the appropriate person and office

2. Serve and/or order refreshments for guests where necessary

3. Answer, screen and forward incoming phone calls

4. Receive, sort and distribute daily mail, letter and deliveries

Requirements:

1. SPM or Diploma in any relevant field

2. Good command of spoken and written English and Mandarin

3. Proficiency in Microsoft Office application

4. Previous similar experiences would be an advantage

5. Ability to be resourceful and proactive when issues arise

6. Good organizational skills

7. Multitasking and time-management skills

Duties and Responsibilities:

• Execute and duly implement the full spectrum of HR function, payroll and
  recruitment processing for HQ and branches.
• Responsible for timely statutory payments (e.g., EPF, SOCSO, EIS, HRDF, PCB, etc),registration of new employee, updating employee records.
• Updating and maintaining employee records and ensure all employee files
  are updated and managed effectively. 
• Responsible for the secretarial and administrative tasks of the company, including liaising with company secretary for company documents.
• Preparing and amending where necessary HR correspondences and related documents, i.e., employment contracts, renewal contracts and etc.
• Cross check and verify overtime claims.
• Handling general administrative duties in HQ office (e.g., office maintenance, handling incoming mailing/couriers, stationery, printing, office drinking water supply, renewal of insurance/road tax, applying and renewal for permits and etc.) and provide support to branches of the Company.
• Manage company email, handle phone calls when necessary.
• Maintain and filling rental agreements of HQ and branches where applicable, and etc.
• Assist in credit search, stamping of documents, and maintaining the
  records.
• Liaise with external suppliers where applicable (office equipment suppliers for quotation, branches and etc).
• Support other department when necessary.
• Any other duties as assigned from time to time.

Qualifications and Skills:

• Candidate must possess at least Bachelor's Degree/Post Graduate Diploma or equivalent;
• Minimum 1-2 Year(s) of working experience in the related field; fresh graduate are welcome to apply
• Attention to detail;
• Good team player and willing to learn;
• Good communicator;
• Computer literate and competency in HR software, Microsoft Office and etc.
