You will play an important role, such as: 

• Administer and execute paperwork to ensure smooth operations
• General admin and clerical support
• Prepare payment voucher, Invoice and other task assigned from time to time
• Coordinate & facilitate Annual Financial Audit Process
• Handle daily documentation and proper filing system to ensure documents are traceable in an efficient manner
• Record expenses, bills and filing other financial documents
• Prepare Quotation, Invoice, and Stock report.
• Compile payment listing
• Responsible for supporting company day-to-day administration and office support to colleagues and management
• To manage all administrative & operation tasks which include documentation, filing, letter correspondences, arranging for courier services, etc
• Responsibility for supporting accounts and human resources-related matters.
•  Any ad hoc task assign by superior

To succeed in this role, we will need you to have: 

1. Candidate must possess at least CAT/Diploma/Advanced/Higher/Graduate Diploma in Finance/Accountancy/Banking or equivalent.

2. Computer literacy in Microsoft Office (Excel, Word, Powerpoint)

3. Good communication skills

4. Able to meet deadlines, able to multi-task, and capacity to work independently.

5. Positive working attitude

6. At least 2 years of working experience in the related field

7. Priority will be given to immediate availability.

Job Description :-

• Act as the quality management representative for ISO 9001:2015. EMS 14001
• Monitoring of Company Vehicles : Maintenance, Inspection, permit application, fine/penalty, sales & purchase, renewal of insurance & road tax
• Attending to all matters relating to Government Authority requirement
• Monitoring of Company Insurance : Fire, Burglary, Risk, Group PA & Public Liability
• To handle and coordinate training e.g source training provider , training requisition form, HRDF grant application and prepare payment voucher.
• To ensure all related training documentation (Training brochure , Training registration form, Training Invoice, Payment Receipt, Training Certified, Training Assessment  Form and etc., are filling and keep record.
• To handle grant application and HRDF claim in e-Tris website
• Attending to all matters relating to Government Authority requirement
• To apply cancel or revise Shell Card based on requirement.
• Handle travel arrangements and resolve related issues.
• To book flight ticket and hotel upon request.
• Monitoring of security guards performance
• Maintenance of Administration Office : purchase of equipment, repair & cleanliness
• Report direct to General Manager - and Ad Hoc Job
• Degree in Business  Administration/Management
• At least 5 years of experience 
• Good communication skill.

Responsibility & Authority    :-

• COORDINATING OFFICE ACTIVITIES AND OPERATIONS TO SECURE EFFICIENCY AND COMPLIANCE TO COMPANY POLICIES.
• ADVISE AND ASSIST PROJECT TEAM MEMBERS IN THE APPLICATION OF PROJECT PROCEDURES, DICIPLINES AND RECORCING AND REPORTING SYSTEMS.
• DEVELOP AND MAINTAIN THE PROJECT LIBRARY, FILING, RECORDING AND REPROTING SYSTEMS.
• CO-ORDINATE THE PRODUCTION OF ALL REPORTS AND PRODUCE PROJECTS SUMMARY REPORTS.
• HELP TO SET UP PROJECT MEETINGS AND RECORD THE MINUTE MEETINGS.
• COMMUNICATE PERTINENT INFORMATION BETWEEN MANAGEMENT AND SATFF.
• MONITOR ALL MOVING OF THE PROJECTS KEEPINGTHEM SYNCHRONIZED AND MOVING FORWARD.
• ANALYZE PROJECT DATA AND PRODUCE PROGRES REPORTS.
• RESPONDING TO INCOMING CALLS, EMAIL AND QUERIES FROM CLIENTS. 
• KEEP STOCK OF OFFICE SUPPLIES AND PROJECT SITE WORKS SUPPLIES AND PLACE ORDERS WHEN NECESSARY.

Education/Qualification        :-

• CANDIDATE MUST POSSESS ATLEAST SPM,STPM, DIPLOMA OR DEGREE IN ADMINISTRATIVE/BUSINESS MANAGEMENT OR EQUIVALENT.

Experience              :-

• A MINIMUM OF 1 YEAR OR WORKING EXPERIENCE PERFORMING ADMINISTRATIVE DUTIES AS AN ADMINISTRATIVE ASSISTANT OR COORDINATOR, ETC.

 Skills                :-

• DISCREET AND ABLE TO HANDLE PRIVATE AND CONFIDENTIAL INFORMATION.
• STRONG INTERPERSONAL AND COMMUNICATION SKILLS.
