The tasks of the Sales & Administrator will include sales and mentoring office sales & admin assistants. The ideal candidate will be competent in prioritizing and working with little supervision. Responsibilities

• Build and maintain relationships with new or existing clients. Maintain positive and professional staff and client relationships: welcome and greet clients and office guests. 
• Support office staff and executives with general operational tasks. 
• Complete all paperwork relating to a sales.
• To liaise between clients, maids, and colleagues for a smooth flow of operation.
• To liaise with relevant authorities to get a work permit for the maids.
• To arrange pick up of the maids from the airport and arrange for medical check-ups with Fomema-appointed clinics.
• Assist in reminding clients and process for the maids' renewal of working permits and contracts.
• Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages.
• Assist in the preparation of presentation or interview materials.
• Monitor and maintain office equipment: repair or replace malfunctioning equipment and hire technicians when required.
• Monitor office supplies: order and re-stock as needed.
• Ensure the office is kept clean and organized at all times.
• Keep files, contacts, contracts, invoices, and receipts orderly and at the Management's and relevant authorities' disposal.

• Responsible in generate Invoices, customer orders and etc. related document.
• Negotiate for best purchasing package (in terms of quality, price, term delivery and service) with suppliers.
  
• Maintain complete updated purchasing records/data and pricing in the system.
• Responsible for preparation and process purchase orders and documents in accordance with company policies and procedures.
• Monitor and co-ordinate deliveries of items between suppliers to ensure that all items are delivered to site/store on time.
• To liaise and coordinate with the dealers and internal departments for sales support task.
• Timely and accurately processing of daily sales order.
• Established and maintain proper filing system to ensure smooth documentation and administration.

Report to: Project Director

• In charge of project in-coming and out-going correspondence, circulation and dispatch.
• In charge of documentation filing system for proper operational procedure at site office.
• Ensure all document controls comply with ISO procedures.
• In charge of Progress Report preparation and submission and likes.
• Attending meeting and prepare minutes as when required for the project.
• Assist Project Manager/Director in purchasing and procurement of material required for the project.
