The Opportunity

This position works out of our Willis Tower, Chicago, Illinois location in the Legal Division.

As the Legal/OEC Administrative Assistant, you’ll have the chance to provide general administrative support to the Legal/OEC Willis Tower team, including DVPs, attorneys, directors, ECOs, and paralegals, as assigned. 

What You’ll Work On

• The position will require applicants to build/maintain processes for the DVPs to manage the work of their organizations by using technology (such as SharePoint, Microsoft teams), to organize collaboration and communications.
• Qualified candidates will have excellent communication skills and judgment and be able to build relationships and network with other peers to drive efficiency into the organizations they support.
• Responsibilities include all departmental administrative functions, including calendar management, scheduling travel, processing expense reports, creating and modifying business documents, answering phones, and managing correspondence.
• Assists with meeting/event coordination and organization, including document preparations, visitor access, and catering services.
• Manages calendars, including proactively identifying and resolving schedule conflicts.
• Utilizes advanced software skills including Microsoft Office Suite and other business-specific software such as Corporate Travel, Procurement, document management, and matter management systems.
• Maintains confidentiality in handling sensitive business information.
• Coordinates domestic and international travel arrangements, including visas, passports, and inoculations.
• Conducts onboarding activities, including workspace set-ups for new employees.
• Provides basic project management support.
• Consistently interacts with high-level executives and works with cross-functional teams in connection with projects and division-wide support.
• Point of contact for team whereabouts and knowledge of general availability
• Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
• Manages departmental supplies and storage thereof.
• Prioritizes workload to ensure departmental support needs are fulfilled.

• Responsible for compliance with applicable Corporate and Divisional Policies and procedures
• Intermediate knowledge and understanding of business processes and requirements. 

The salary range for this position is $22.00 - $44.00 based on experience.

Required Qualifications

• High School diploma or equivalent, some college preferred.

Preferred Qualifications

• 3+ years previous admin experience or equivalent
• Operates with general instruction and some supervision.
• Advanced knowledge of Microsoft Office Suite, including PowerPoint, Outlook, and Word

An experienced support worker who is reliable, punctual, and flexible is required to support a disabled female adult based in London Borough Tower Hamlets. The ideal candidate would live locally within about a 3-mile radius of the Borough.



The ideal candidate should have previous experience working with disabled adults in their own homes and in the community and possess a calm, kind, understanding, patient and caring disposition.



The candidate should be trustworthy, very compassionate, understanding and respectful. They will need to have a professional work ethic with the highest regard to confidentiality and discretion. Ideally candidate will hold a first aid certificate and or epilepsy/seizure trained or be willing to partake training (free training can be sought on the epilepsy website). They will need to be clean, know how to cook and be able to follow precise instructions. Have a good grasp on English as individual is hard of hearing and has communication difficulties so needs to be efficient in communicating.

The candidate will need to follow the instructions and support with cleaning, helping with seizures, shopping, cooking and support with reading and writing correspondence, helping manage forms, attending university and appointments with the individual. A good level of English is required. Someone who can drive would be desirable.



**Duties:**


* Attend and assist in the community with individual including university, shopping and appointments.
* Help with cooking and cleaning.
* Help with managing bills and forms.
* Assist and support in case of a seizure and help manage situation
* Dressing and undressing if required for example after a seizure, this can include incontinence pads.
* Support with educational/recreational games
* To be vigilant of changes in mood such as a manic episode or depressive episode.
* Assist employer to advocate for herself and attend meetings and take notes if needed.
* Daily check in to assure employer is okay.
* Any other tasks appropriate to the job, as directed by employer



**Responsibilities:**

* Support when having a seizure and manage the environment around her.
* Support employer to develop independence within her educational setting and within her home environment.
* Ensure that employer is listened to and looked after while in your charge

* Respect our privacy and maintain a professional approach at all times, being careful to treat our working relationship as confidential.

***The successful candidate will be part of a team of PAs and will be expected to cover each other on annual leave and sick leave*. You will also need to be willing to undertake appropriate training for this role which can be provided.**





A level 2 Diploma in Health and Social care is desirable as well as a recent enhanced DBS and checkable references.





**Hours:** **** 14.75 Hrs per week (Monday- Sunday)

Hours are flexible and can be short notice if changes occur.

**Rate:** **** £11.95 gross per hour (paid on a monthly basis)
