Job Description:

• Coordinate within supplier and international branches on logistics, stock replenishment, stock forecast, product ordering and others issues related to Operations Department.
• Consolidation orders from branch, and issue PO to suppliers.
• Liaises with supplier regarding product purchasing on order status, ETA, logistic arrangement, payment, product issues, and other related issues.
• Prepare shipping document to branches for new shipment and follow up with branches on receiving delivery status.
• Coordinate and assist to monitor the inventory level of all branches, inventory planning, inter-branch stock transfer and checking availability.
• Perform any additional duties as and when assigned by superior.
• Report to Hong Kong Headquarters.

Job Requirement:

• Candidate must possess at least Higher Secondary/STPM/"A" Level/Pre-U, Diploma/Advanced/Higher/Graduate Diploma, Bachelor's Degree/Post Graduate Diploma/Professional Degree in Business Studies/Administration/Management, Commerce, Logistic/Transportation or any equivalent field.
• Minimum 2 to 3 years of experience. Junior and Fresh graduates are welcomed.
• Team player and able to work with minimal supervision.
• Able to prioritize, multi-task and handle tasks independently
• Possess strong critical thinking, analytical and problem-solving skills, interpersonal skills to secure support and contribution from a wide range of stakeholders.
• Good command of spoken and written in English, Malay and Mandarin/Cantonese.
• MUST proficiency in Mandarin.

SUMMARY OF POSITION

Role & Responsibilities
This is a fast-paced role and applicant will need a high degree of accuracy and details and an ability to coordinate and multi-task.
The logistics professional functions as an interface between international and domestics service providers and the broader business.
The role will see you responsible for the execution of freight movements for exports ocean/sea freight shipments. As the Export Freight Administrator, you will be responsible for end to end export coordination to include handling export inquiries, confirming information with your clients and service providers, preparing/lodging all export documentation, ensuring all information is accurately recorded in Cargowise (system) and raising relevant invoices (charges). Your lines of duties will include collating export document, bookings with shipping lines, organizing movement of cargo, client invoicing, etc. The role will encompass the following responsibilities:
*Manage the necessary documentation for the efficient and legal execution of import and export activities.
*Consolidation preparation.
*Update in the computer systems with manifesting data in accordance with shipper's instructions
*Input data into the EDI management system.
*Check and verify Bill of Lading/invoice print.
*Resolve cargo reporting discrepancies with Customs department.
*Collaborating with the Accounting team to resolve discrepancies with Operations invoicing matters.
*Maintenance of cargo security and appropriate records.
*Provide documentation,reporting and quotations to customers.
*Play a key role in customer implementation,development and retention,actively managing own customer accounts,providing quality customer service.
*Build and maintain strong, professional working relationships with customers to support development of new and additional business streams.

About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

What you will be doing

Monitor Operational Workflow to Ensure a Full Supply Chain Visibility to the Customer

• Receive and control customer bookings according to the processes in place
• Check optimizations from Optimizer if applicable and propose consolidation options
• Assign customer booking to a selection of freight forwarding agents (3PL)
• Monitor shipments on regular basis (3PL shipment confirmation, milestones completion etc.)
• Drive corrective actions when required (missing event etc.)
• Monitor delays and deliveries events using the dedicated IT solutions (internal or external TMS, BI…)
• Alert the customer team proactively in case of deviation and propose backup solutions
• Communicate with internal (regional and overseas) and external organizations, ensuring all communications generated in the dedicated IT solution (chat, tasks etc.) are handled in a timely manner
• Create reports and analysis to give a consolidated vision of the flows for customer

Deliver Customer Satisfaction

• Manage and support order management to ensure the best possible service level
• Meet deadlines and ensure completion of customer service tasks within the expected time frames
• Ensure a consistent and proactive communication flow with the customer
• Act as a strong interface to resolve customer problems, manage troubleshooting and issue resolution
• Prioritize, resolve and/or escalate issues to secure customers' interest
• Represent Prism internally and externally
• Act as Single point of contact for the customer

• Knowledge in flow management/control tower / IFF contract operations management / key accounts
• Knowledge in freight forwarding, AOG and oversize cargo will be an advantage
