Job Responsibilities

HR Operations for APAC Countries: Employee Life Cycle and Off-boarding

• Respond to employee queries on HR-related matters.
• Act as the key liaison with Ernst & Young for employment pass-related matters.
• Perform file audits to ensure that all required employee documents are collected and maintained.
• Generate promotion/transfer letters, salary adjustment letters, contract renewals, addendums, extensions of probation, and reference letters.
• Administer the confirmation process for probation and handle invoice processing.
• Collate and summarize employee movement on a monthly basis.
• Prepare acceptance of resignation letters and ensure leavers/resignees sign-off.
• Liaise with leavers/resignees and IT on property/items returns and document sign-offs.
• Conduct exit interviews and notify relevant departments of leavers/resignees' last day.
• Manage tickets routed to the HR Shared Services team via the Case Management System.
• Maintain a good knowledge of HR policies and processes to resolve tickets timely.
• Update and maintain the organization chart on a monthly basis.
• Update all government-related surveys, e.g., MOM, MAS.
• Handle any other duties or projects assigned.

Risk and Controls Administration

• Ensure compliance with local statutory and regulatory requirements by staying updated on legislation and enforcing adherence.
• Liaise with the local compliance team to ensure regulatory adherence, including submitting accreditations to MAS for SFA/FAA representatives and monitoring the completion of CMFAS exams.
• Administer processes and controls related to the Representative Notification Framework (RNF) and Register of Dealer (ROD) for Singapore and manage IBF exam bookings.
• Work with the risk and control team on audits and annual refresh checks.

Payroll Operations

• Create new hire profiles and maintain employee profiles, allowances, and claims in the Timesoft system.
• Ensure payroll processes for Singapore are executed according to the bank’s and local regulatory guidelines and policies.
• Ensure the timeliness and accuracy of Singapore employee salaries, benefits, and CPF payments.
• Ensure timely and accurate submission of local tax reporting for employees.
• Liaise with E&Y tax consultant on all tax-related matters for expatriates and transferees.
• Advise on pay and other remuneration issues, including promotion and benefits.
• Provide remuneration costs for financial reporting.
• Handle monthly HR accrual entries.
• Submit government grants/claims.
• Manage tickets routed to the HR Shared Services team via the Case Management System.
• Maintain good knowledge of HR policies and processes to resolve tickets timely.
• Participate in Time & Attendance project implementation and payroll outsourcing to a third-party vendor.
