Program enquiry stage:
· Responding to the queries of customer enquiring on the course.
· Answer phone enquiries about the course.
· Creating standard email templates in conjunction with marketing teams.
· Follow up with leads that comes to training webpage but did not register.
· Work with marketing team to follow-up on the leads generated through various marketing channels.
Registration and enrolment:
· Post customer filling registration form, to send them email for due diligence (request ACRA cert, UEN number, declaration form) (before confirming the subsidy).
· After due diligence send the payment link/ details.
· Confirmation with finance team on receipt of payment.
· Create class grouping based on the registrations (work with industry team for grouping).
· Sent class groupings to participants.
· Sent the standard welcome pack to the participants (work with product team).
· Send reminders of the course commencement to participants – 2 weeks before, 1 week before etc.
· Create and track the participant repository.
· Process request for changing participant name or any other details
· Process refunds and postponements.
· Create SOP’s for all above with project owner.
ESG Training and post engagement:
· Sending post survey forms and collecting feed backs.
· Send pre-reading and other require material after each module (work with product team).
· Engage participants post training with other suite of services (work with sales).
Sales Operation
· Prepare Sales Order Processing and follow up on order fulfilment. Including but not limited to address their queries, anticipate issues on a timely basis.
· Administration of documentation controls for order fulfilment.
· Monitor, track and advise clients on their applications status.
· Review and guide clients on the documents required for certification.
· Responsible for administrative matters in relation to pre and post sales activities.
· Identify, propose and implement improvements to the process to meet customer critical issues.
· Responsible for updating, maintaining, processing and analyzing the Green Label databases to provide usable data to support the SGLS & Eco Certification sales team.
· Ensure that all data are updated accurately and in a timely manner.
· Vendor invoice verification.
· Collaborate with Finance for bi-weekly Accounts receivable report, and follow through with clients.
· Support Sales on Accounts receivable handling.
· Liaise with Environment Engineers for constructive response to client’s queries.
· Monitor KPI (service turnaround timeline) and escalate for prompt resolution.
Operations/ Office Administration
· Maintain smooth & efficient office and facilities operation.
· Liaise with external vendors and monitor service maintenance contracts.
· Liaise with IT Vendor for IT-related matters such as technical support and IT related assets.
· All other Operations scope of work that may varies from time to time.
Others:
· Handle all customer enquiries pertaining to Sales, Eco-Office, SGLS and ESG training;
· Coordinate with external vendors (e.g. auditors)
· Support all Company event (SEAA and SGA)
· Any adhoc task as and when assigned by your direct supervisor or the Management.
This is a crticial position which needs to be filled out urgently. Candidates who are able to start work immediately will be an added advantage.
