What The Role Is
We are seeking a temporary team member to provide short-term support for our HR systems operations.
This role involves managing correspondence across HRPS-related channels, providing first-level technical support for Careers@Gov, coordinating user access requests across government systems, and conducting data verification activities. The successful candidate will also support change management through learning session delivery and metrics analysis.
This is an excellent opportunity for someone with strong organisational skills and MS Office proficiency to gain valuable experience in government HR systems whilst contributing to critical operational support
What You Will Be Working On
Key Responsibilities
a. Email Management and First-Level Support
i. Monitor and respond to incoming correspondence across HRPS-related mailboxes, including WOG HRPS, Careers@Gov, and PRS channels ensuring timely and accurate handling of enquiries.
ii. Provide initial troubleshooting assistance for Careers@Gov technical issues encountered by members of the public, ensuring timely resolution or appropriate escalation of user queries.
b. Process and coordinate user access requests across multiple systems and agencies, including:
i. Careers@Gov Recruiter & Security Screening roles (from non-HRPS agencies)
ii. PRS Role Management (for WOG agencies and Medical Institution)
iii. HRPS WOG Role Assignment (for Approving Authorities (AA) roles)
c. Administrative Tracking, Data Verification and Follow-up
i. Conduct systematic data verification activities within both PRS and HRPS platforms to maintain data integrity and reliability
ii. Maintain oversight and follow-up processes for key administrative exercises, i.e., Cost Recovery initiatives and User Access Review (UAR) and Service Recovery activities, ensuring compliance with established timelines and requirements.
d. Support Change management
i. Manage end-to-end delivery of learning sessions including participant registration, content preparation with module leads, session facilitation, and post-session follow-up with consolidated Q&A responses and materials distribution.
ii. Monitor and analyse intervention metrics, including baseline measurements and post-implementation data trends like non-system ticket volumes, to assess learning programme effectiveness and identify improvement areas.
iii. Conduct systematic analysis of non-system tickets by module and timeframe to identify patterns and generate comprehensive reports that inform future change management strategies and learning content priorities.
What We Are Looking For
Competencies Required
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organisational skills with the ability to multi-task
- Excellent written and verbal communication skills
- Experience in using SAP system and/HR or Payroll will be an advantage
