Position Purpose 

The Senior Business Support Executive plays a pivotal role in strengthening our support functions to better assist our Sales, Client Management, and Marketing teams. This position is responsible for providing strategic support, managing administrative tasks, and optimizing processes to enhance overall efficiency and effectiveness. By ensuring seamless coordination and communication, the Senior Business Support Executive enables our teams to focus on driving business growth and delivering exceptional service to our clients.

Major Tasks & Responsibilities : 

• Provide comprehensive administrative support to the Sales, Client Management, and Marketing teams, including A&P claims management, A&P recovery arrangements, and correspondence.
• Monitor accounts receivable (AR) collections and follow up with clients to ensure
  timely payment.
• Resolve customer payment issues and discrepancies in a prompt and professional manner.
• Coordinate and facilitate communication between internal departments and external stakeholders.
• Manage documentation, files, and records to ensure accessibility and organization.
• Support the development and implementation of strategic initiatives to improve
  business support processes.
• Assist in project management activities, including tracking progress, monitoring
  deadlines, and reporting.
• Collaborate with cross-functional teams to address support needs and optimize
  workflows.
• Stay updated on industry trends and best practices to continuously improve support services.
• Mentor and guide junior support staff to ensure a high level of performance and
  productivity.

Work Relations 

The Senior Business Support Executive will work closely with the following teams and individuals :

• Sales, Client Management, and Marketing teams to understand support needs and provide assistance.
• The Management to align support initiatives with overall organizational goals.
• Cross-functional teams to collaborate on projects and initiatives.
• External stakeholders, including clients, vendors, and partners, to facilitate
  communication and coordination.

Qualifications : 

• Bachelor & degree in Business Administration, Management, or related field, or
  equivalent work experience.
• Proven experience in a similar role, preferably in the FMCG industry.
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent communication and interpersonal abilities, with the capacity to build
  relationships at all levels.
• Proficiency in Microsoft Office Suite and other relevant software applications.
• Ability to work independently, prioritize tasks, and meet deadlines effectively.
• Experience in project management and process optimization is desirable.
• A proactive and adaptable mindset with a commitment to continuous improvement.

資質：

• 工商管理、管理或相關領域的學士及學位，或
  同等工作經驗。
• 擁有類似職位的豐富經驗，最好是在快速消費品行業。
• 強大的組織能力和多任務處理能力，並且對細節非常關注。
• 優秀的溝通與人際溝通能力，具備建構能力
  各個層面的關係。
• 熟練使用Microsoft Office套件和其他相關軟體應用程式。
• 能夠獨立工作、確定任務優先順序並有效地按時完成任務。
• 有專案管理和流程優化經驗者優先。
• 積極主動、適應力強的心態，致力於持續改善。

Job Responsibilities:

• Oversee daily operations of CS department to ensure goals are achieved
• Responsible for contract billings, ensure billings are completed and distributed to customers in a timely manner, ensure billing data accuracy
• Sales order management for chargeable and free of charge toner
• Generating and distributing management information reports to ensure information transparency to support management decision
• Establish policies and procedures relevant to CS operations
• Continuously to reshape department best practices to provide highest customer satisfaction
• Monitor and evaluate outsource vendor performance
• Responsible for executing new guidelines or strategies related to CS operations, project management
• Attend to customer queries and disputes
• Maintain effective communication internally and externally
• Performs any other related duties as and when directed by superior

Job Requirement:

• Candidate should possess a Bachelor Degree or equivalent in Business Studies / Administration / Management. Basic Accounting & Finance knowledge is an advantage.
• Preferably at least 5 years experience in managerial position with related working experience.
• Good communication skills in English & Malay for both spoken and written. Ability in Chinese language will be an advantage
• Experience in Sales Orders Support with Order Management, Customer billing and contract management is a must and able to deal with customers.
• Must be proactive, handle work pressure & able to establish policies / procedures relevant to internal & external customer support, and experience in SAP system is an advantage.
• Able to demonstrate good leadership in managing a team with at least 10 staffs.
• Experience in customer service center or call center is not essential.

We are looking for a Major Project Sales Lead to be based in our newly renovated Petaling Jaya office.

About you

You are familiar with the construction business in Malaysia and have a wide network with the key market players; in this role you will serve as the Otis brand ambassador introducing and promoting our products and services into the to the major projects in Malaysia.

On a typical day you will:

• Manage a portfolio of elevator units through maintaining good working relationships with existing customers

• Serve as primary contact for timely resolution of customer needs surrounding inquiries

• Develop new customers via cold calling, networking, bids and tenders

• Develop your own sales strategy to achieve sales targets

• Use Otis’ sales tools to effectively track opportunities, pipeline, and forecast sales results

• Conduct sales negotiations and close deals

• Collaborate with fellow team members, including other sales representatives and field colleagues

What you will need to be successful

• Relevant Degree and a minimum of 8 years working experience in Major Project Sales, preferably in the Elevator business

• Strong client servicing mentality, excellent interpersonal skills

• Possess high level of commitment and reliability

• Target oriented, with the ability to work in a fast-paced environment
