Job Descriptions

1. Providing administrative support to one or more lawyers
2. Assisting with court filings and facilitating the meeting of deadlines by monitoring, maintaining, and updating calendar and providing timely reminders for lawyers

8. Travel Management: Plan travel arrangements for the Director, which include booking flights, accommodations, ground transportation, travel insurance, and managing travel itineraries.
9. The daily management of the employer's unit office and home office, performing secretarial duties. This includes managing the employer's business and personal correspondence, typing, handling emails, answering calls, making relevant calls on behalf of the employer, and organizing and maintaining corporate and personal documents. Additionally, the role involves coordinating and scheduling meetings, as well as attending to Director’s guests and visitors upon their arrival at the office.
10. Handling guest reception on behalf of the employer. Additionally, responsible for guest accommodation arrangements and providing administrative support, including managing expenses and claims for the Director.
11. Represent the employer in business negotiations, prepare contract documents for the employer's signature, and coordinate the planning and execution of signing ceremonies between the employer and negotiating parties.

Job Requirements

1. Have good communication, administrative and organisational skills
2. Familiarity with legal documents and terminology would be preferred
3. Good command of spoken and written Japanese and English
4. Proficiency with Microsoft Office programs
5. Able to effectively prioritize and meet deadlines

Position Summary

This role is with a growing Financial Services in Singapore. As part of this role, you will oversee the complete compliance operations in Singapore. It is a sole contributor position, and you will report directly to the local CEO, as well as the APAC Head of Legal and Compliance, who is based in Hong Kong. This role needs proficiency in both English and Chinese, as you will be engaged in Chinese documentation and communication and will need to interact with Chinese stakeholders.

The right candidate should have at least 10 years experience in a similar role with good knowldge on Singapore Securities regulations.

Responsibilities:

• Liaise with regulators on license applications, new business/products, compliance matters and handle regulatory inspections and enquiries
• Advise local and regional management and business about regulations and local/regional compliance matters
• Assist and advise client onboarding and AML related matters
• Plan, design and execute the annual compliance review program; regularly select areas of operations for compliance review or self-assessment based on risk-based approach
• Maintain the daily working relationship with regulators and external law firms; track, evaluate and implement the latest regulatory and legal requirements, and be responsible for coordinating and completing various regulatory replies and reporting, and circulating key regulatory and compliance related information
• Coordinate with overseas offices to prepare ad hoc and periodic Compliance reports for regional and Headquarters Compliance and senior management and to disseminate group compliance related information
• Maintain general compliance related administrative record and provide assistance in all internal and external inspections, audits or reviews
• Provide and maintain compliance training program; monitor and keep training records and staff dealing matters in accordance with internal/external requirements
• Assist in drafting, implementing, and reviewing compliance policies and procedures

Qualification

• Degree holder of reputable university
• Minimum 10 year of experience in Compliance, Legal, Audit, or regulators of securities and investment banking industry
• Well versed with relevant Singapore securities industry regulatory requirements and market practices
• Firsthand experience in interacting with regulators and experience in team management preferred
• Mature, thoughtful, strong analytical and problem solving skills with an aptitude for technology
• Proactive, strong team player and able to work independently
• Strong project management and interpersonal, coordination and communication skills
