About the Role


SmartScale360 is looking for a highly organized and proactive Executive Assistant (with Social Media, Admin, and Operations Support experience) to support day-to-day executive and business functions.


This role involves managing calendars, emails, calls, communications, social media, and operational tasks while using various business tools and systems to ensure efficiency and organization.


Location: Remote

Salary: PHP 40,000/month + Performance Bonuses

Benefits: 10 days PTO, Annual Appraisal, Career Growth Opportunities, Healthcare Benefits

Schedule: U.S. Hours


Key Responsibilities:

  • Manage executive calendars, scheduling, email correspondence, and daily priorities
  • Handle calls, messages, and professional communication across channels
  • Support social media content creation, scheduling, and engagement tracking
  • Assist in planning and coordinating meetings, events, and company activities
  • Perform administrative tasks, documentation, and data management
  • Manage tasks and workflows using project management tools and systems
  • Coordinate with internal and external stakeholders as needed


Tools & Systems:

  • CRM platforms (e.g., HubSpot, Salesforce, or similar)
  • Project management tools (e.g., Asana, Trello, Monday.com, ClickUp)
  • Communication tools (e.g., Slack, Zoom, Google Workspace, Microsoft Office)
  • Social media scheduling tools (e.g., Meta Business Suite, Buffer, Hootsuite)


Ideal Candidate:

  • Highly organized, proactive, and detail-oriented
  • Strong communication skills (written and verbal)
  • Experience in executive assistance, admin support, or virtual assistance
  • Familiarity with CRM systems and project management tools
  • Ability to multitask and manage shifting priorities


Required Qualifications

  • Proven experience as an Executive Assistant, Virtual Assistant, or similar support role
  • Strong calendar management and email management experience for executives or teams
  • Excellent organizational and multitasking skills in a fast-paced environment
  • Strong written and verbal English communication skills
  • Experience using CRM systems and project management tools
  • Proficiency in Google Workspace or Microsoft Office Suite
  • High attention to detail and ability to anticipate needs proactively
  • Reliable remote work setup with strong internet connection


Nice to Have

  • Experience supporting C-level executives or leadership teams
  • Background in social media management or basic content coordination
  • Experience working in healthcare, home care, or service-based industries
  • Familiarity with systems like Generations or other workflow/ERP tools
  • Experience handling client-facing communication or operations support


Work-From-Home Requirements:

  • Device: Intel i5 + 8 GB RAM minimum
  • 100 Mbps internet
  • Backup device, internet, and power supply
