Role Overview
We are seeking a highly organized and proactive Executive Assistant to support senior leadership in day-to-day operations, communication management, scheduling, and administrative coordination. The ideal candidate is detail-oriented, resourceful, and comfortable working in a fast-paced remote environment while collaborating with cross-functional teams across U.S. operations.
Key Responsibilities
- Manage executive calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Prepare meeting agendas, take notes, track action items, and follow up on outstanding tasks.
- Coordinate internal communication, document management, and executive administrative support activities.
- Assist with reporting, spreadsheet tracking, presentation preparation, and operational coordination projects.
- Maintain confidentiality while handling sensitive business and employee information.
Required Qualifications
- Bachelor's degree or equivalent practical experience.
- 1–3 years of experience in an Executive Assistant, Administrative Coordinator, Operations Coordinator, or similar support role.
- Strong proficiency in Microsoft Office and Google Workspace, including Excel/Google Sheets, Outlook/Gmail, and PowerPoint/Slides.
- Excellent written and verbal English communication skills.
- Strong organizational skills with the ability to manage multiple priorities independently.
- Reliable internet connection and a professional remote work setup.
Preferred Qualifications
- Experience supporting U.S.-based executives or remote teams.
- Familiarity with tools such as Microsoft Teams, Zoom, Calendly, or similar business applications.
- Experience with HR, recruitment coordination, or operations support is a plus.
- Prior experience in property management, real estate, or a fast-growing startup environment is preferred.
