Document Controller- Frankfurt and Berlin (Germany)
Job Summary
The Document Controller is responsible for managing, tracking, and maintaining all project documentation for a data centre construction project. This role ensures that all technical documents, drawings, and correspondence are properly controlled, distributed, and stored in accordance with project and company standards. The position plays a critical role in maintaining document accuracy, version control, and compliance across a fast-paced, high-value construction environment
Key Responsibilities
- Establish and maintain the project document control system in line with company and client requirements
- Manage the receipt, registration, distribution, and filing of all project documentation (drawings, specifications, RFIs, submittals, reports)
- Ensure all documents are up-to-date, accurately version-controlled, and easily accessible to project teams
- Control the flow of documentation between contractors, consultants, and client stakeholders
- Maintain document logs, registers, and trackers (e.g., drawing register, submittal log
- s)Monitor and enforce document control procedures and naming conventions
- Support project teams with document retrieval and reporting
- Coordinate with engineering, design, and construction teams to ensure timely submission and approval of documents
- Archive project documentation in line with company and contractual requirements
- Assist with audits and ensure compliance with quality standards (e.g., ISO procedures if applicable)
Key Requirements
- Proven experience as a Document Controller in construction or engineering projects
- Experience working on data centre or large-scale infrastructure projects is highly desirable
- Familiarity with project lifecycle documentation in construction environments
Skills & Competencies
- Strong understanding of document control systems and processes
- Proficiency in document management software (e.g., Aconex, Procore, SharePoint, Viewpoint, or similar)
- Ability to manage large volumes of documentation under tight deadlines
- Good communication and coordination skills
- Proficient in Microsoft Office (Excel, Word, Outlook)
Qualifications
- Relevant qualification in business administration, information management, or construction-related field (preferred but not essential)
Desirable
- Experience in mission-critical environments (data centres, pharmaceuticals,
- etc.)Knowledge of BIM/document integration processes
- Understanding of QA/QC documentation processes
