The hiring company
This organization is an integrated transport and logistics company, providing international freight forwarding and logistics services across Asia, Australia and Europe/America continents. Currently they have a job opening in the operations works at their warehouse facilities at Port Klang area. They are looking for experienced warehouse workers to undertake the warehouse operations functions at their 3PL facilities at West Port in Pulau Indah.
The vacancy is permanent position and form part of the warehouse operations team to manage the cargo/shipments that have have been imported or to be exported.
Duties & Roles
As Warehouse Senior Supervisor, you will be responsible to carry out the following duties:
*Perform and verification check activities of incoming and outgoing shipments to verify information against bills of lading, invoices, orders and other records.
*Carry out verification checks on customer order,shipping order or requisition to determine items  to be moved, gathered or distributed.
*Unpack and examine incoming shipments,reject damaged items, record shortages and correspond with shippers to rectify damages and shortages.
*Record shipment information/data,such as weight,measurements, charges
*Pack shipping containers,creating shipping labels and shipping documents.
*Loading and unloading of goods/cargo.
*Generate and maintain accurate shipping/receiving documentation.
The candidate
*Malaysian in age group 30-40.
*Punctual with positive work ethic.
*Physically fit with ability to lift and carry.
*Minimum qualification: Diploma in Supply Chain/Logistics Management or Business.
*Forklift license is necessary; a forklift license would be ideal, useful and beneficial.
*The ideal candidate for this role will be someone well organized with 3-5 years experience in warehouse operations, picking and packing ,customer services or similar environment preferred, and have the ability to communicate effectively with the team and customers.
*3-5 years of previous warehouse operations, especially in 3PL facility has a huge advantage and will be highly regarded.
*Hands on and hardworking with knowledge of both warehouse and logistics practices.

Manger, Service Operations is responsible for overseeing and managing all planning aspects of the service operations department. This includes strategic planning, resource allocation, and performance monitoring to ensure efficient and effective service delivery.

• Develop and implement strategic plans for service operations-planning to align with company goals.
• Manage resource allocation, including staff and budget, to ensure optimal productivity.
• Monitor service operations performance and implement necessary improvements.
• Collaborate with other departments to integrate service operations with overall business strategy.
• Ensure compliance with industry regulations and company policies.
• Lead and motivate the service operations-planning team to achieve high performance.

In this role you will be responsible for:

• Plan and check service schedules via in-house system
• Manage and train service staff in order to improve the service quality
• Make sure team members provide quality and timely services as per scheduled
• Carry out regular quality assurance checks on completed services by spending 20% of available Supervision time on quality assurance checks
• Perform quarterly field attachment with team members
• Prepare and present weekly report on team members’ review

A. Service

• To maintain accurate records of all service vehicles in the branch in relation to:

a. Renewal of road tax b. Maintenance service due

c. Repair costs d. Fuel usage

e. Driver logs

• To manage & control the Branch’s fleet of service vehicles in a cost effective manner, and without compromising on safety.
• Ensure all new businesses are completed within 10 working days from the date of service agreement/job confirmation.
• Ensure each service team is route-ridden once every 2 months.

B. Stocks

• To present the service capital expenditure request each month, to the Branch Manager for his attention and further action.

C. Administration

• Ensure that all required returns and reports to the head office are prepared accurately and dispatched promptly.
• To conduct a formal meeting Quarterly with Technicians.
• To provide the Service Manager with status reports on a monthly basis covering:

a. State of Service b. Customer Issues

c. Supervisor’s issues d. Other issues

D. Staff Recruitment, Welfare & Development

• Recruit (subject to prior approval from AOM) new Service Technicians.
• Induct, train and manage service staff effectively.
• Maintain a high level of morale amongst your staff.
• Ensure that staff have a full understanding of the Company’s objective and policies.

E. Quality Assurance & Training

• Ensure a high level of competence in the required skills amongst service staff by providing continuing training and practical assistance & guidance in the field.
• Develop good customer relationships through being knowledgeable about your work, and taking ownership of service problems.
• Ensure that all customer complaints are attended to within 24 hours.
• Ensure that Service Supervisors duties are audited monthly.
• Ensure that each Service Technician is audited at least once every 2 months.

F. Health & Safety

• To ensure that all chemicals are handled, store and applied with due regard to the safety standards laid down within the Company, and that staff are never exposed to untoward risks in the course of their work.
• To ensure that all service vehicles are roadworthy & safe through a monthly inspection.
• To constantly project, by personal example, Good & Safe Working Practices within the Branch.

G. OTHER DUTIES

• Maintain friendly and co-operation relations with the sales team providing sales lead, and other useful feedback from the customer.
• Support the sales team in achieving the sales targets for the branch.
• To constantly improve his/her knowledge of pest management by private study, membership of associations and attendance at courses, and also by the study of technical literature provided by the Company, and through practical experience in the field.

The ideal candidate will possess:

• Minimum a Diploma in related discipline of studies with proven track record in managing staffs
• Possess good interpersonal, communication and people skills
• Mature and able to manage a team of 10 members
• Positive, result oriented, has good drive and initiative
• Computer skill is essential
• Willing to travel to client places
• Keen to take Goods Delivery License (GDL) if shortlisted
• Required valid driving license because driving is part of the job requirement for this designation

About the assignment

You secure excellence in total Supply Chain operational performance and its further development, in close cooperation and alignment with all relevant supply chain stakeholders. You contribute to reach customer perceived availability at the lowest total cost (considering impacts of quality, safety, service performance, sustainability and other supply chain costs securing optimal replenishment solution).

Your main assignments as Supply Operations Developer are:

• Secure operational performance in Supply Chain from end-to-end perspective within given cope, according to (i.e. Handling Risk of Shortage, Range Changes, Handling commercial actions, Handling high inventory, Delivery solution optimization, Slot management at sender and receiver side, Flow optimization execution, Expansion execution, EQU improvements) and working methods, always having in mind the customer value Challenge and develop current logistical set up by identifying patterns of underperformance, non-compliance, deviations, and potential risks. Engaging respective stakeholders, together performing root-cause analysis and lead corrective actions. Undertake initiatives to develop operational performance, utilizing efficiency increase opportunities to bring excellence in operations and reach agreed objectives.
• Validate and optimize sending and receiving capacities as a link between all Supply Chain stakeholders.
• Lead high-quality communication with on time- and fact-based supply information among stakeholders from the whole Supply Chain.
• Follow up on execution of the Supply Plan (the compliance of Stakeholders, the execution of market-relevant plans in connection with the Market Operation Forum (MOF).
• Adjust Delivery lead times based on performance and follow up On Time Delivery (OTD).
• Plan and execute replenishment plan for new logistic units (Store and Customer Distribution Centers within established market).
• Support, contribute with a knowledge and actions during ERP situation.
• Give an input on improvement of current processes, way of working to Supply Operations Competence centers – FPD, FRD, FCP).

PRIMARY RESPONSIBILITIES

• Act as an effective Focal Point of contact/Key Account Manager in partnership with the client from various businesses in providing broad range of the HR solutions and strategic plans to support client in delivering the best HR practices that align with the business needs and achieve the business goals.
• Responsible to manage the HR operation team for specific the client, particularly on manpower mobilisation (including work permit).
• Responsible for planning, executing and managing the day-to-day human resources initiatives and operations matters related to TSS manpower supply.
• Maintains payroll information by designing standard operating procedure; directing the collection, calculation, and entering of data for TSS manpower supply.
• Responsible to pay contractor and compiles payroll information by managing payroll preparation; completing reports; maintaining records.

 

SPECIFIC RESPONSIBILITIES

• Update payroll records by reviewing and approving changes in exemptions, insurance coverage, deductions, job titles, and department/division transfers given by clients.
• Prepare reports by compiling summaries of earnings, taxes, deductions, leaves, and allowances to the clients.
• Determine payroll liabilities by approving the calculation of employee’s income and social security taxes, and employer's social security, and workers compensation payments.
• Provide payroll information upon requests.
• Maintain payroll guidelines by writing and updating policies and procedures.
• Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
• Establish strong working relationship with internal and external partners to enhance the effectiveness of the HR deliveries. I.e. clients, local authorities, professional bodies and others.
• Complete operational requirements by scheduling and assigning employee; follow up on work results.
• Handle and coordinate HR related issues such as on-boarding, benefits, employment terms compliance, disciplinary issues and exit procedures for the contractors.
• Prepare management reports on activity, budget and other ad hoc projects to the management and clients.
• Liaise with client for the necessary procedure and approvals in order to prepare billing instruction and ensure all the invoices are billed on time.
• Coordinate and arrange meeting within the department and clients for the quarterly service review.
• Designing and delivering Client specific presentations.
• Adherence to applicable Quality Management System by exercising necessary standard and process when carry out your responsibilities in executing, fulfilling and ensuring at all times the compliance of the QMS requirements.
• Adherence to SGS Health, Safety and Environment (HSE) Policy by uphold a good safety behavior and exercising necessary standard and process when carry out your responsibilities at all times to ensure compliance to the HSE requirements.

For our Distribution Center in Port Klang Malaysia, we are currently looking for an Operations Support Specialist responsible to enable delivery of goods within the agreed lead time and quality, at the lowest possible operational costs, with the customer in focus and the total supply chain in mind.

Our Operations Support Specialist will:

• Secure operations in the warehouse are executed to meet excellence in operations and collaboration with the External Service Provider (ESP) and other relevant stakeholders (Customs, Supply Operations, Retailers, etc.).
• Coordinate and optimize inbound and outbound planning execution tasks to secure goods delivery within the agreed parameters.
• Support development and implementing the warehouse's mapping strategy, including picking activity to optimize efficiency and continuously improve in-warehouse processes, in collaboration with service providers.
• Follow up on activities of the ESP in the warehouse unit to achieve expected results and initiate corrective actions with the goal of improving service standards at the lowest possible costs.
• Update, follow up and communicate KPI’s (inventory, quality, efficiency).
• Support ESP to secure 100% compliance for export related activities in warehouse (labeling, fumigation).
• Contribute to improving and optimizing the local ways of working.
• Take part in global and local projects to find efficient and innovative ways to optimize the unit logistic process and systems.
