What we're looking for
A fast-growing US-based marketing agency specializing in influencer and UGC (user-generated content) partnerships is looking for an Executive Assistant to support its leadership. The team is small, autonomous, and moves quickly, so this role exists to unblock workflows and keep operations running smoothly across functions. You will start by working closely with the founder on administrative tasks, then grow into supporting the wider senior team.
What You'll Be Doing
- Own the creator lifecycle from start to finish, sourcing and reaching out to influencers and UGC creators, getting contracts signed, and managing them through to delivery.
- Send out and track contracts on a weekly basis, keeping this critical workflow unblocked.
- Run project management across creators, chasing assets, keeping files named and organized, and following up on creator payments.
- Liaise with internal teams and external creators to keep everyone aligned.
- Grow into document creation, slide decks, reporting, and light account management as capacity expands.
- Support hiring-related scheduling and onboarding logistics as new processes are built.
Requirements
- 2 to 3 years of Executive Assistant experience, ideally supporting US companies in a marketing agency environment.
- The ability to self-serve and work efficiently with minimal oversight (this role exists to remove bottlenecks, so no hand-holding required).
- Excellent written and verbal communication.
- Strong organizational and prioritization skills, with a proactive habit of closing loops on your own.
- Proficiency with productivity tools (Google Workspace, Notion, Slack, and Asana).
- Discretion when handling confidential and sensitive information.
- Demonstrated background in coordinating project deliverables and timelines.
- Based in LATAM, working East Coast, Mountain, or Central Time for team overlap.
Nice to Have
- Experience using DocuSign for contract management (training available).
- A project or relationship management background looking to grow into an EA or operations role.
- Prior agency experience.
