Singapore Aquatics (SAQ) is the governing body for the aquatic sports of swimming, water polo, diving and artistic swimming in Singapore as a member of the World Aquatics. SAQ is charged with the development and education of aquatic players, officials, coaches and volunteers throughout Singapore and with the conduct of competitions and programs for all levels of participation.
A. PRIMARY JOB PURPOSE
Report to the Operations Director in support of the Vice President of the respective disciplines. To ensure that the administration and operations for international and local events and programmes are efficient and provides the participants, athletes and coaches with the best environment for them to achieve their desired result within the guidelines determined by Singapore Aquatics (SAQ).
B. JOB RESPONSIBILITIES
1. Administration
· Monitor expenses and ensure compliance (audit governance) with policies of the Association and Sports Singapore.
· Administer the registration process for all SAQ events, programs and projects.
· Administer and support the membership database for all SAQ registered athletes.
2. Organisation of Events, Competitions and Programmes
· Production and delivery of projects and events from proposal to implementation.
· Managing all aspects of event planning, meeting deadlines and budget demands. This will include the pre-event preparations and post-event closing activities
· Coordinate with internal staff, venue management, vendors and others to establish the requirements and serve as liaison to various stakeholders throughout the planning process for all aquatics events and programs
· Provide administrative support and execute all operations aspects for all aquatics events and programs
· Manage the volunteer management framework for association to cater for all aquatic events and programs
· Ensure that all expenditure and expenses are all within budget
· Analyse registration statistics and compile accurate reports whenever needed.
· Conduct surveys with event participants and other stakeholders as appropriate.
· Perform ad hoc duties when assigned
3. Effective Relationship and Communication with SAQ’s Partners and Stakeholders
· Perform customer service and handling enquiries from the public, affiliates, and stakeholders on SAQ events and programme.
· Keep abreast of all activities in the SAQ Calendar and contribute to the updating of the SAQ’s calendar and website.
· Work closely with the SAQ Communications team to make sure events and activities are promoted across all relevant channels.
· Assist in maintaining communication channels with internal and external stakeholders regarding local swim meet matters, updates and initiatives.
4. Marketing and Communications
· Work with the Marketing team to develop appropriate promotional materials, using brand guidelines.
· Promote the event through various marketing channels to attract participants and spectators.
