We are searching for a detail-oriented and organized Operations Administrative Assistant to join our Singapore office. In this dynamic role, you will be the right hand to the Office Manager, ensuring the day-to-day operations run smoothly and efficiently as well as contribute to the effectiveness and success of the team. You will also provide crucial support across various departments.
Role & Responsibilities
Office Support
· Manage procurement of stationery and pantry supplies.
· Coordinate printing of business cards and Employment Agency Personnel ID cards.
· Facilitate registration of biometric data for door access.
· Assist with general office services and maintenance needs.
· Reconcile and submit vendor invoices.
· Prepare and submit expense reimbursement claims for senior management.
· Collect and distribute weekly mail.
· Coordinate travel and hotel arrangements for conferences and meetings including town halls, retreats, and team-building events.
· Handle ad-hoc duties such as courier arrangements and document collection from external parties.
· Provide administrative support to Finance Department on staff claims.
Team Support
· Archive client agreements in system and designated folders and maintain an updated client list.
· Consolidate and submit quarterly MOM placement returns for permanent placements.
· Manage preparation, procurement, and distribution of employee awards and recognition gifts.
· Prepare digital signatures for agreements to streamline workflow and reduce email traffic.
· Handle website inquiries and redirect to the appropriate consultants.
· Organise and coordinate logistics for team events.
· Perform additional duties as assigned.
