• To lead the Deputy Head (Curriculum) to ensure that the organisation and delivery of the PYP is high quality and meets all expectations of the IBO
• Responsibility for securing and maintaining authorisation for the PYP

Academic Monitoring

• To devise and implement a system of Academic Monitoring, through consultation with the Vice Principal (Academic)
• To ensure that measures of achievement are accurate and readily available so that students and their parents can take an active interest in performance and reflect upon progress.
• To maintain open dialogue between the school, students and their parents on all matters educational.
• To be responsible for monitoring the progress of Junior School students from first placement in the school to the time they leave.

Pastoral Leadership

• To devise and implement a system of Pastoral Care, through consultation with the Vice Principal (Pastoral)
• To liaise with the Vice Principal (Pastoral) to ensure that practice is consistent across the School.
• To ensure that appropriate guidance programmes are in place to offer students support as they transition between the various stages of their education and between countries.
• To oversee the awards system to students.
• To oversee the Junior School discipline policy.
• To take primary responsibility for the pastoral care of the students in Junior School from the time of their admission to the time that they leave.
• To work alongside the necessary staff in ensuring that the G5/G6 transition programme is effective

Overseeing the Work of Staff

• To maintain high standards of learning and teaching by:
• Encouraging strong teamwork.
• Maintaining appropriate support for staff, responding to the need for professional development.
• Leading the PD programme in the Junior School, to ensure that strategic aims are met.
• Overseeing the deployment and appraisal of Junior School support staff.
• Assisting in the appointment of new staff and managing their induction to the school.
• Taking responsibility for the appearance and good order of rooms, ensuring that they reflect an atmosphere of learning, discovery and interest.
• Ensuring that quality control procedures for new staff are followed.

School Administration

• To take responsibility for the day-to-day business management of Junior School including the deployment of resources and of the budget.
• To collaborate with the Admissions Office in matters relating to the enrolment of students.
• Overseeing the process, and preparing testing materials, for Junior School admissions.

Safeguarding

• Abide by the school safeguarding policy and keep abreast of any changes

Qualifications/Skills

• Relevant vocational qualifications or equivalent job experience.
• Minimum 8 - 10 years of similar experience working within an international school or other education environment.
• Excellent people management skills.

Job Summary

Provide comprehensive secretarial and administrative support to the President, ensuring efficient daily operations, effective communication, and seamless coordination of meetings, travel, and business engagements.

Responsibilities

• Deliver comprehensive secretarial and administrative support to the President to ensure smooth daily operations and effective time management
• Manage the President’s calendar, appointments, meetings, and business schedules by prioritizing commitments and coordinating changes as needed
• Prepare, draft, review, and consolidate presentations, reports, meeting materials, correspondence, speeches, and other business documents in both English and Mandarin
• Facilitate communication between the President and internal/external stakeholders to ensure effective coordination, information flow, and timely follow-up on key matters
• Coordinate and follow up with internal departments and regional offices on key initiatives, management instructions, and action items to ensure timely execution
• Organize and support management meetings, executive committee meetings, conferences, and business reviews by preparing agendas, taking meeting minutes, and tracking follow-up actions
• Arrange and coordinate domestic and international business travel including flight bookings, accommodation, visa applications, itineraries, transportation, and travel logistics
• Support the President in business engagements, stakeholder communications, official visits, and external events by ensuring proper coordination and preparation
• Maintain filing and document management systems including document control, approvals, records management, and version tracking
• Handle confidential, sensitive, and strategic information with professionalism, integrity, and discretion
• Assist in special projects, corporate initiatives, and other assignments as directed by the President

Required competencies and certifications

• Bachelor’s degree or above in English, Chinese, Linguistics, Translation, Communications, Journalism, Public Relations, or related discipline
• Minimum 3–5 years of relevant experience as a Secretary, Executive Assistant, Personal Assistant, or similar role supporting senior executives
• Excellent written and verbal communication skills in both English and Mandarin, including drafting, proofreading, and preparing professional business documents
• Strong organizational, coordination, and time management skills to manage multiple priorities and meet deadlines in a fast-paced environment
• Strong interpersonal and stakeholder management skills to communicate effectively across organizational levels
• High level of professionalism, integrity, maturity, and discretion in handling confidential and sensitive information
• Meticulous attention to detail and ability to work independently with minimal supervision
• Proficiency in Microsoft Office applications, especially PowerPoint, Word, Excel, and Outlook
• Proficiency in English and Mandarin to communicate and coordinate effectively with stakeholders
• Willingness to travel occasionally as required by business needs

Preferred competencies and qualifications

• Experience supporting C-suite executives, Presidents, CEOs, or Board members
• Experience working in a multinational corporation, regional headquarters, or matrix organization
