Key Responsibilities:

· Manage the Executive’s calendar, including the scheduling of appointments, meetings, and conference calls, as well as the coordination of travel arrangements.

· Screen and prioritize incoming calls, emails, and other correspondence, responding to or redirecting inquiries as appropriate.

· Prepare, review, and edit business correspondence, presentations, reports, and other documents, ensuring accuracy, clarity, and a high standard of professionalism.

The Role

The role is responsible for managing a full spectrum of corporate secretarial services for the firm’s clients, primarily private limited companies. Key responsibilities include handling company incorporations, registration of foreign entities and representative offices, company strike-offs, and other corporate exercises, while ensuring compliance with the Singapore Companies Act, ACRA regulations, and statutory requirements. The incumbent will prepare and maintain statutory records, resolutions, and meeting minutes, coordinate Board and Shareholders’ meetings, and oversee timely statutory filings via the ACRA BizFile+ portal. The role also involves liaising with clients, auditors, regulators, and internal stakeholders on compliance matters, supporting client onboarding and due diligence processes, guiding junior team members, and keeping abreast of regulatory and corporate governance developments.

Your Profile

Candidates should possess a minimum Diploma or Degree in Business, Law, Accountancy, or a related discipline, with SAICSA/CSIS qualifications or candidates currently pursuing the SAICSA programme considered an advantage. The ideal candidate will have at least 2 to 3 years of relevant experience in a Singapore corporate secretarial firm, with strong knowledge of the Singapore Companies Act, ACRA regulations, and corporate governance practices. They should have experience independently managing a portfolio of clients and preparing minutes for Board and Shareholders’ meetings. Position Summary

Provide comprehensive secretarial and administrative support to the Managing Director and Senior Management Team while assisting with management reporting, data consolidation, project coordination, and busines ssupport activities. Key Responsibilities

Executive Secretarial Support

• Provide full secretarial and administrative support to the Managing Director and Senior Management Team.

Business & Project Coordination

Qualifications

• Diploma or Degree in Business Administration, Management, Economics, or related field.
• Minimum 3–5 years of experience in executive secretarial, administrative, or business support roles.
• Experience supporting senior management is preferred.
